Primary Function: Provide administrative, planning and event execution support for all events for the NCC Foundation.
Responsibilities: Work under the direction of the Manager of Special Events and Sponsor Relations on the planning and execution of Foundation and other college events including, but not limited to, the NCC Food and Wine Gala, Foundation Golf Tournament, scholarship luncheons, donor cultivation events and other events as assigned. Coordinate electronic and hard copy event mailings and reminders, track sponsorship details (for fundraising events) and event attendees. Assist with preparing sponsorship and other event related materials as needed. Track and ensure deadlines are met for various event-related activities. Reserve rooms, process associated work orders, vendor invoices, etc. Organize the efforts of staff/volunteers for fundraising events as needed. Monitor website to ensure accurate and up to date information about events at all times. Provide on-site event staffing, coordinate set-up logistics. Assist with post-event correspondence such as accurately recording guests and expenses into Raisers Edge.
Other Duties: Be familiar with and articulate about the College including its mission, culture, and fundraising objectives. Be familiar with the campus spaces used for events including A/V infrastructure and room capacities. In periods of lower event activity, support other areas of the Foundation with administrative support at the direction of department leadership. Other duties as assigned by the Director of Special Events and Sponsor Relations.
Organizational Relationships: (1) Responsible to the Director of Special Events and Sponsor Relations for assigned responsibilities. (2) Works cooperatively with Institutional Advancement colleagues in carrying out departmental objectives. (3) Relates role to College mission and goals. 4) Maintains positive working relationships with external partners and with NCC staff especially in physical plant and food service.
Performance Standards: Performance in this position is considered satisfactory when: (1) Mutually agreed upon objectives have been attained within specified time frame. (2) Responsibilities of the position have been carried out at a level consistent with performance objectives. (3) Effective cooperation exists with faculty and staff and external partners.
Qualifications: (1) Education: Associate degree from a regionally accredited institution required, Bachelor’s degree preferred. (2) Skills, Knowledge, Abilities: (a) Excellent organization and project management skills with the ability to meet concurrent deadlines; (b) commitment to the mission of the institution; (c) must be self-motivated, achievement-oriented and able to work well both independently and cooperatively; proven success working as member of a team; (d) willingness and ability to learn from trainings, and workshops; (e) ability to provide outstanding customer services and to remain poised at all times; (f) access to car for local travel; (g) knowledge of office management methods and procedures; (h) solid computer skills in PC environment with capability to master new software applications and technologies in database management; (i) expertise in functional use of Microsoft Word and Excel required; (j) must be flexible and available to work occasional evenings on event days.
