Department: Business Process and Accountability
General Statement of Job
The Records Management Coordinator works closely with the Business Process and Accountability Manager in maintaining the operations of the Records Management Program.
Specific Duties and Responsibilities
Essential Functions:
- Coordinates the maintenance, updating, and sustaining of the records management program in accordance with applicable laws and regulations.
- Providing guidance to the departments regarding the processing, storage, and destruction of documents.
- Assist the Record Coordinators and departments regarding records management-related matters.
- Develops, updates, and monitors policies, procedures, and training related to records management to comply with applicable laws and regulations and the College’s operations.
- Coordinate the proper maintenance, inventory, retention, and destruction of the College’s records.
- Maintain and update the inventory of the College’s records safeguarded at the retention center.
- Coordinates and monitors the request of official records transferred to the College’s retention center.
- Receives and processes the record deviation requests from departments.
- Maintains and compiles accurate data related to records management and provides reports as required.
- Coordinates the review of the internal department’s record inventory.
- Maintains and monitors records migrated electronically.
- Communicate with departments in response to records management research inquiries.
- Conducts records management training.
- Tracks project deliverables and ensure their quality.
- Responsible for preparing Board and Committee motions/reports, as needed.
- Uses various software applications to perform assignments and projects.
- Coordinates multiple projects and assignments concurrently.
- Performs other duties as assigned.
Required Education and Experience
- Bachelor’s Degree required, preferably in Business Administration, or related field.
- At least three (3) years of work experience in any or a combination of the following disciplines: records management, recordkeeping, or in a related field.
- Experience in reviewing and applying federal, state, and local rules and regulations, preferred.
- Experience in a higher education institution preferred.
Required Knowledge, Skills and Abilities
- Excellent oral, written, and interpersonal communication skills.
- Strong computer skills with knowledge of Microsoft Office (Word, Excel, PowerPoint, Visio, and Outlook) and internet research skills.
- Demonstrated knowledge in compliance, conducting investigations, and providing educational trainings.
- Ability to conduct interviews and communicate effectively with a broad range of constituents both orally and in writing.
- Ability to collaborate with external regulatory agencies, investigators, and consultants.
- Ability to maintain confidentiality and to exercise discretion and sound judgment.
- Strong analytical, critical thinking, and problem-solving skills.
- Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
- Ability to work independently as well as a team player within department and with others.
- Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
- Demonstrated commitment to achieving the vision and mission of South Texas College.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, college policies and procedures, governmental regulations, and legal documents.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from the Board of Trustees, administrators, students, employees, and the general public.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, or diagram form.

Physical Requirements
- Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
- Bending the body downward and forward by bending leg and spine.
- Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
- Ability to receive detailed information through oral communication, and to make the discrimination in sound.
- Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. Occurs to a considerable degree and requires substantial use of upper extremities and back muscles.
- Ability to make rational decisions through sound logic and deductive processes.
- Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
- Standing particularly for sustained periods of time.
- Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.
- Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
- Mobility to accomplish tasks, particularly for long distances or moving from one work site to another.
