Transcripts

Job Description
Department: Purchasing
General Statement of Job
Compiles information and records to prepare purchase orders for procurement of services or materials in accordance with federal and state laws and South Texas College policies and procedures.
Specific Duties and Responsibilities
Essential Functions:
- Assists faculty/staff in obtaining information on goods and services needed.
- Reviews requisitions and assists in specification development.
- Confers with vendors to obtain product and/or service information, price availability and delivery schedule(s).
- Determines method of procurement such as direct purchase, competitive bid, request for qualifications, or purchase through a cooperative purchasing agreement.
- Prepares solicitation documents for conducting competitive procurement and purchase orders for vendors.
- Resolves defective or unacceptable goods or services with Central Receiving personnel, end users, vendors, and others to determine source of problem and takes appropriate action.
- Expedites delivery of goods to users.
- Assists Purchasing personnel with bid document preparation and vendor correspondence.
- Maintains vendor applications, purchase orders, bid files, and other records for auditing purposes.
- Assist with the College vehicle registration renewals and payments.
- Performs other duties as assigned.
Required Education and Experience
- To qualify, one of the following must be met:
- College Certificate
- A minimum of 30 earned college hours
- At least two (2) year of Purchasing experience, preferred.
Required Knowledge, Skills and Abilities
- Excellent oral, written, presentation, and interpersonal communication skills.
- Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
- Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
- Ability to work independently as well as a team player within department and with others.
- Ability to adapt to constant change and periods of fast-paced, high-intensity work situations.
- Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
- Demonstrated commitment to achieving the vision and mission of South Texas College.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to effectively present information and respond to questions from groups of employees, clients, customers, vendors, regulatory agencies, and the general public.
- Ability to apply practical understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
Checks, Certificates, Licenses, and Registrations
- Security Sensitive position: all applicants are subject to a criminal background check under South Texas College policy.
- In addition, subject to a federal background check.
- Must have or qualify for a valid Texas driver's license and proof of liability insurance.
Physical Requirements
