The Information Technologies is currently seeking a Full-time Regular Facilities Technology Coordinator.
As a member of team, the Facilities Technology Coordinator will reports to the Service Lead Facilities Intake.
The Facilities Intake Team is responsible for managing hundreds of on-going projects across the University of Calgary's campuses (Main Campus, Foothills, Spy Hill, Downtown) and research field stations, ranging from access, classroom, lab and building services, renovations, upgrades and new builds.
The work in this role requires the Coordinator employ proficient time management, problem-solving and communication skills to oversee the successful delivery of IT Facility deliverables in a fast-paced, dynamic environment. The incumbent should be able to operate independently, analyze and develop creative solutions and ensure accountability in executing decisions to meet competing deadlines.
The Facilities Technology Coordinator will regularly communicate with facilities and project managers, SME's, vendors and other stakeholders across the University. The ability to professionally and sensitively translate key technical processes with both business and technical stakeholders is vital to success in this position.
Given the high volume, varied work associated with this position, the role is often required to balance competing initiatives with multiple and often simultaneous deadlines. The impact of the work is significant and involves risk at the enterprise level, where error can result in significant cost and time to remediate. The nature of the work requires high attention to detail, self-initiative, and a high degree of adaptability and resiliency.
The incumbent has the opportunity to participate in high-scale projects, and learn from cross-functional teams instrumental to the overall operations and delivery of IT and Facilities. This role is critical to the successful delivery of education, operations and research, that will have a strong impact on the value and reputation of both the IT Division and the University of Calgary as a whole.

While varied, the position normally works 35 hours per week, normal business hours being 08:30-16:30, Monday to Friday. There is an expectation of shifting schedules and hours to meet the demands and responsibilities of the role and team. This position is part of the AUPE bargaining group.
Summary of Key Responsibilities (job functions include but are not limited to):
- Oversee on-site installation work, and ensure that all internal/external resources follow University of Calgary standards, as it relates to both the technical and safety guidelines
- Ensure alignment and the effective planning, preparation, execution and monitoring of IT project schedules and costs with construction schedules and budgets within established parameters
- Lead the coordination and delivery of all system designs in a timely manner and ensure that they are aligned with the IT architectural standards and roadmaps
- Lead the coordination and delivery of IT deliverables in accordance with project schedules
- Ensure all team members have appropriate escalation paths in place and provide additional escalation support where required.
- Liaise and communicate with the Facilities Project Management Office (PMO) Project Managers as well as IT Technical Services in relation to Facilities driven projects
- Assist Project Managers and stakeholders with identifying project technology decisions and recommendations
- Provide timely status updates, and relay any risks to the Project Manager
- Lead in the creation and assembly of all documentation which complies with current IT service offering standards
- Oversee the schematic and detailed designs, and ensure that all construction related specifications are in line with IT standards and specifications
- Responsible for ensuring that all technical design and contracts with 3rd parties are documented and submitted for review with various parties
Qualifications / Requirements:
- Minimum of 3 years of experience in leading/coordinating IT teams
- Minimum of 3 years of experience in successfully delivering IT Projects
- Knowledge of, or willingness to learn IT industry frameworks for building IT systems infrastructure focused upon ensuring that the University standards are maintained and implemented
- It is imperative that the incumbent for this role has a strong sense of ownership, is a strong team player, and can balance technical capabilities with business needs
- An Undergraduate Degree or Diploma; a combination of relevant project management/coordination certifications (PMP or similar) and work experience will also be considered
- Ability to translate technical knowledge with SME's and non-technical stakeholders
- Ability to communicate clearly and concisely, both orally and in writing
- Exhibit a high level of professionalism working with diverse stakeholders across the University
- Skilled in coordinating teams
- Demonstrated ability to work both independently and within a team environment
- Skilled in coordinating resources, managing multiple tasks with hard deadlines and quickly adapting to shifting priorities in a fast-paced environment
- High attention to detail

- Fast-Paced IT Environment: Enthusiastic about being part of a dynamic IT team within a large organization, demonstrating qualities such as teamwork, self-drive, logical thinking, organization, and collaboration
- Able to work independently, receiving minimal guidance; open to learning and development, and willing to accept new challenges and assignments
- Proficient understanding of Service functions inside of Project Management
- Excellent interpersonal skills, with the ability to handle conflicts professionally
- Identifies area of improvement in operational and functional practices
- Experience developing IT documentation
- High energy, confident individual that communicates with passion and authority
