JOB SUMMARY
The Senior Project Coordinator at the UBC Cloud Innovation Centre (CIC) is responsible for managing multiple concurrent innovation projects focused on Generative AI and related technologies, such as machine learning and IoT, with a high emphasis on delivering sophisticated infrastructure-as-code prototypes using AWS Cloud. This role involves driving projects from conception to completion, including scope definition, planning, resource coordination, and ensuring high architectural and scalability standards. The Senior Project Coordinator also coordinates Capstone Project student engagements, leading to the completion of 12-15 development projects annually, which are published as open source for community access.
Working independently and with some direction from the Director, the Senior Project Coordinator will manage cross-functional teams, ensuring timely delivery of outcomes that support the CIC's overall program. This role requires cultivating strong relationships with project sponsors, engaging with external collaborators, and advocating for UBC's interests in collaboration with strategic partners like AWS.
ABOUT THE UBC CLOUD INNOVATION CENTRE
The UBC Cloud Innovation Centre is a strategic national public - private collaboration with AWS - a hub for public sector community driven ‘challenges’ that address real-world problems and opportunities and provides students with the opportunity to “Learn By Doing”. Due to the nature of the collaboration between UBC and AWS, the UBC CIC has high visibility both internal to UBC and beyond. The UBC CIC engages broadly with the community and its outcomes may be highly publicized.
UBC and AWS CIC staff work with students, staff and faculty, as well as community, government or not-for-profit organizations to define challenges, to engage with subject matter experts, to identify a solution and to build prototypes and/or Proof of Concept (PoCs) which are published as open source for other community members to access and use.
UBC CIC contributes to student engagement by providing opportunities to engage directly with cloud technologies including organizing and hosting events to engage students in the field of STEAM, (e.g. hackathons, learning events) as well as actively promoting and supporting work-integrated learning. The CIC also collaborates with post-doctoral teaching and learning fellows who add value by driving knowledge translation for teaching and learning.
Organizational Status
The Senior Project Coordinator reports to the Director and is part of the CIC management team. The Senior Project Coordinator They manage projects independently manages projects and is required to workcollaborate closely with senior team members (, including Solutions Architects and/or other Project Management staff) in ensuring, to ensure the timely and successful delivery of time-sensitive outcomes.
Work Performed
- Manage end-to-end innovation projects focused on Generative AI and related technologies, culminating in sophisticated infrastructure-as-code prototypes using AWS Cloud.
- Oversee the delivery of multiple concurrent projects (up to 5 at a time) and coordinate Capstone Project student engagement (5-7 projects).
- Utilize agile methodologies to define project scope, schedules, deliverables, and milestones in collaboration with technical experts and project teams.
- Ensure high architectural and scalability standards for all projects, which are published and made available to the open-source community, with AWS referring its Public Sector customers to these outputs.
- Oversee project activities, track progress, ensure completion of action items and deliverables, and keep projects on track to achieve desired outcomes.
- Manage all staff assigned within the projects, including Solutions Architects, students, and technical resources from clients.
- Perform resource assessment and allocation for all CIC projects, which includes managing the financial components and forming the basis for the operating budget (~upwards of $250K) with AWS.
- Cultivate strong relationships with project sponsors at all levels, adapting to diverse business domains and technical challenges to drive positive results.
- Collaborate effectively with strategic partners (AWS and others) to advocate for UBC's interests and achieve mutual goals.
- Engage in consultations with external collaborators and stakeholders to understand their needs, design projects that align with their objectives, and advance project outcomes.
- Work collaboratively and influentially with Solutions Architects (technical SMEs) and community project sponsors to ensure project objectives are met.
- Supervise student staff, including hiring, onboarding/offboarding, and addressing HR questions and issues.
- Coordinate the development and creation of communication materials for various platforms (e.g., website, social media, newsletters) to promote project outcomes and raise awareness.
- Oversee and facilitate cyclical training events, workshops, public talks, and cross-campus programs for students and/or staff.

Consequence of Error/Judgement
This position works independently with limited guidance, and will need to exercise a high degree of judgment and initiative. This position is responsible for making professional project decisions and recommendations that impact the success of projects that are vital to achieving the mandate of the UBC Cloud Innovation Centre. Through its close interaction with partner organizations, this position has direct impact on the credibility and integrity of UBC and AWS within the health authorities, government, business, and academic communities and various other external stakeholders. Lack of tact, diplomacy, or sensitivity in dealing with industry, government, and health authority contacts could potentially result in missed opportunities, damaged relationships, and loss of credibility. Errors, inappropriate judgment, inappropriate or errant communication of sensitive issues could have a serious budgetary impact and have legal implications.
Supervision Received
Reports to the Director. Works independently and with guidance from the Director. Works closely with senior CIC staff, industry stakeholders and senior academic and administrative leadership in project sponsor roles, depending on the project.
Supervision Given
Manages the work of project team members on a project basis. Manages and coordinates the completion of assigned work in collaboration with project team members and other staff. Provides supervision to staff and part-time students as required.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
Project coordination and/or management experience with familiarity with AWS cloud services and/or innovation/emerging technologies
Graduate degree is an asset. A project management-related certificate or designation is an asset.
Experience in an academic or postsecondary institution is an asset.
Excellent communication skills (spoken and written, formal and informal) and computer skills (e.g., with the MS Office Suite). Must be intuitive as well as analytical.
Self-directed, decisive and willing to take initiative in relation to carrying out CIC objectives, coupled with fast ability to learn from experience. Ability to work independently, under pressure and meet deadlines.
Excellent time management and organizational skills.
