Job Summary
The Associate Director, Human Resources contributes to the overall management of human resources responsibility by assuming ownership of Chicago Booth staff onboarding/off boarding process and various other internal processes and/or School-wide projects or programs. Main areas of focus will be the University HRIS system, on/offboarding, staff communications, and all-staff events. The Associate Director serves as an integral part of the HR team by performing multiple duties in the department; serving as a back-up for other positions; taking on new responsibilities as the organization evolves; and being flexible and enthusiastic in supporting existing and new programs.
Responsibilities
- Serves as expert user for the Workday HRIS system; assist other HR staff and employees with system use. Manages employee changes for consistency across multiple systems.
- Oversees the successful execution of HR processes and technologies to drive efficient and optimal employee experience. Manages the onboarding and off boarding process for employees to ensure smooth transitions. Serves as a resource to new employees on their onboarding, answering questions.
- Ensures Booth HR practices adhere to relevant laws and regulations.
- Manages HR Microsoft Access database; conducts audits on HR database to ensure data integrity; identifies inconsistencies; makes recommendations for improvements to the system. Annually updates database for new fiscal year. Creates and runs reports to make sure other administrative units have the data required.
- Creates Access reports and Oracle reports to analyze data from HR database and payroll data.
- Plans all aspects of annual all-staff events for Chicago Booth staff.
- Writes content in collaboration with HR team for HR pages on staff intranet. Reviews and updates all pages as needed. Serves on Booth intranet committee.
- Develops new systems for tracking HR processes.
- Oversees the background check process; monitors for completion; works with vendor and HR to provide hires with options when discrepancies occur.
- Manages separations and settlement agreements, insuring completion of all termination steps and appropriate payment according to agreements.
- Coordinates the onboarding of temporary employees and student workers, including processing and ensuring timely payment of wages.
- Handles transfers in Workday to ensure accounts are accurately updated and adjusted in response to approved requests.
- Distributes timely reminders to managers regarding upcoming probationary period deadlines to ensure compliance with evaluation schedules.
- Coordinates and schedules orientations for incoming staff to ensure a smooth onboarding process.
- Tracks and issues weekly notifications for outstanding training to maintain compliance with regulatory and organizational standards.
- Maintains the accuracy, integrity, and compliance of employee files by ensuring all documentation is current and properly managed.
- Guides staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Develops templates and drafts routine offer letters. Maintains appropriate human resources data and records, solving a range of problems using best practices.
- Develops and administers the HR budget for the department, monitors for variances, and manages employment expenses within established guidelines.
- Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field.
Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

- At least five years of experience in human resources operations.
- Background with multiple HR processes, such as HR analytics, onboarding, time and attendance, and/or payroll.
- Event planning experience.
Technical Skills or Knowledge:
- Background working with databases and large datasets.
- Proficient with University HR systems including UChicago Time and Workday.
- Proficient computer skills in Microsoft Word, Excel and the Internet.
- Skilled with Microsoft Access.
