Job Summary
The Program Manager is responsible for managing the design, development, execution, and evaluation of projects that advance the strategic priorities of the Net0MM-CREATE Program, the Characterization@UBC research cluster, and the Department of Materials Engineering. Ultimately, reporting to the Head of the Department and with regular updates to Net0MM-CREATE and the cluster’s lead, the Program Manager works with considerable independence and is accountable for the quality and success of research activities.

Work Performed
Project & Stakeholder Management
Performing research and analysis to lead the continuation of the CREATE program and identify further funding opportunities for the Characterization @ UBC research cluster. This will include grant applications development, budget forecasting and preparation, overseeing data collection, and working with principal investigators to help realize our collective vision. This will include liaising with staff in the VP Research Office, and funders as appropriate.
Develop systems and tools to facilitate, and make recommendations on administrative and financial decisions for the program, including students’ participation, budgeting and expenditure monitoring for Net0MM-CREATE.
Develop and modify project work plans, project proposals, timelines, deliverables, milestones, and ensure financial health of the Net0MM-CREATE Program.
Plan and facilitate stakeholder collaborations, and be responsible for creating and implementing collaborative strategies to enable the successful implementation of decisions for Net0MM-CREATE.
Research and identify opportunities for collaboration with stakeholders that include Faculty and Staff at UBC, industry and not-for-profits, which enhance the priorities and goals of Net0MM-CREATE and the research cluster.
Design and develop program activities such as symposia, workshops, and training events for Net0MM-CREATE and the Characterization @ UBC research cluster. Lead and advise on program initiatives, including the planning and delivery of professional development workshops and other trainings for the Net0MM-CREATE program.
Identify and leverage resources that promote cross-collaboration with other cluster and CREATE teams, the EDI.I office, and campus units to enhance program impact within CREATE and the cluster.
Establish and maintain strong relationships with graduate student cohort members, co-investigators (co-PIs), and both internal and external stakeholders to advance both program’s goals.
Develop and implement processes and systems to gather and support collection of data for the mid- and final- reports to be submitted to NSERC.
Create strategic communication tools and business processes for use between team members to keep them informed of project status, scope changes, and milestone achievements.
Lead and manage in-person meeting/networking gathering all stakeholders i.e., PIs (or representatives) to share capabilities and expertise in their field for the cluster.
Co-deliver education programming to disseminate expertise across the cluster’s four thematic streams, with extended invitations to international collaborators and industry partners for in-depth technical sessions.
Plan and manage cluster management tools including management meetings, regular seminars, training sessions, and collaborative activities such as “round robin” characterization exercises to foster engagement and knowledge sharing within the cluster. Develop a centralized online portal to collect and share cluster-wide resources including training webinars, instructional materials, courses, and workshops.
Budget & Grant Facilitation
Develop forecasts and budgets, including the program’s annual budget and ensure responsible and balanced spending for Net0MM-CREATE and cluster.
Manage and approve program-related expenses in alignment with financial reporting requirements for Net0MM-CREATE and the cluster.
Identify funding opportunities and develop grant proposals with researchers, including the facilitation of major research funding proposals, such as the NSERC CREATE 2026 and CFI IF 2027 for the cluster.
Conduct analysis and contribute in budget forecasting and preparation for the cluster and future grant proposals as noted above.
Communications & Outreach
Serve as the technical liaison and work closely with the Faculty of Applied Science MarCom team, VPRI, UBC Studio to develop necessary content to ensure consistency and up-to-date materials on the program’s website and other social media channels within the Department of Materials Engineering, Net0MM-CREATE, and Characterization@UBC cluster.
Develop and oversee the implementation and creation of social assets including videos, testimonials, news releases, key announcements, and other outreach materials used for program promotion and collaboration within the Department of Materials Engineering, Net0MM-CREATE, and the cluster.
Develop proposals that enable successful recruitment, hiring, supervision, training, and support of qualified worklearn/GAA to support the cluster. These staff will create of variety of social assets including communications highlighting students, alumni, and faculty achievements, student engagement activities and others.
Other outreach duties that enhance the program’s social and outreach presence and position within and across UBC campuses including developing procedures to support the formation of Student Outreach Committee within the Department of Materials Engineering.
Consequence of Error/Judgement
Work is expected to be at a high level of accuracy. Errors could affect the financial position of the projects, harming relationships with industrial partners and government funding organizations. Errors in judgment or ineffective communication may lead to inefficiency of operation, poor internal and external relations, or missed deadlines.
Supervision Received
Self-directed with broad goals and objectives developed in conjunction with Drs. Britton and Sinclair. Work is reviewed in terms of achievement of goals and smooth functioning of the projects. Position require a high degree of independent decision making, ability to assess and implement the work required, strong organizational skills and the ability to provide leadership and support

Will supervise Undergraduate, Graduate, Work Learn and Co-op students as well as recruitment, hiring, training, coaching, feedback and evaluation if required
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
Master's degree preferred. Experience in overseeing project design, implementation, and evaluation. Knowledge of university systems and structures. Excellent interpersonal skills and cross-cultural sensitivity are needed. Expertise in designing and delivering workshops and managing large events. Excellent writing and oral communication skills required. Ability to effectively use appropriate software (e.g., Outlook, MS Word, MS Excel) at an advanced level. Ability to work flexible hours, including evenings and weekends. Ability to organize events, plan ahead, anticipate problems, and meet deadlines efficiently. A highly motivated, creative person with outstanding critical thinking. Proven ability to envision and implement innovative process and provide quality customer care.
