Job Summary
The Vancouver Fraser Medical Program’s (VFMP) Communications Manager is responsible for delivering a full range of communications and strategic community engagement services for VFMP faculty, staff, and students based at academic and clinical education sites throughout the lower mainland and Fraser regions. The Communications Manager leads efforts to enhance the program’s image and reputation, supporting strategic communication for faculty/clinical faculty engagement and retention, learner success, and leadership messaging. Additionally, the Communications Manager directs and implements strategic communications plans for the VFMP by designing, developing and implementing a variety of overarching communication and community engagement strategies to support learners in the VFMP Learning Communities, preceptor and tutor engagement, and policy and process dissemination.

The Communications Manager must be a critical and strategic thinker, a collaborative team player, detail-oriented, aware of the principles of reputation and brand management, and an individual who understands the VFMP’s collaborative partnerships within UBC, the Faculty of Medicine, with Health Authorities, faculty leadership, clinical teaching faculty, learners and staff. The ideal candidate enjoys delivering the promotion of the program and its value to students, the community, the general public and other key audiences.

Organizational Status

Reports to the VFMP Director of Administration, works with the Regional Associate Dean, VFMP, and collaborates closely with the Manager, Communications and Strategic Initiatives in the Faculty’s Office of Creative and Communications to align efforts and to support the Faculty’s strategic goals.

Works collaboratively with MDUP distributed partners site communications colleagues, and with Health Authorities. Communicates and works effectively with faculty, staff and students at VFMP academic and clinical education sites, individuals and departments throughout the Faculty of Medicine, UBC Central Communications and local communities. Liaises with representatives from community health organizations, general public, and other external organizations as required.

Work Performed

Developing, planning and initiating an overarching communications strategy and delivery for the VFMP and in support of the Regional Associate Dean, VFMP, the VFMP Director of Administration, and UBC’s Faculty of Medicine which includes a wide variety of projects, initiatives, activities and events.

Developing and implementing comprehensive communications strategies that advance the MD Undergraduate Program and VFMP’s goals and strategic plans and engage key collaborators including UBC, the Faculty of Medicine, VFMP clinical teaching faculty and faculty leadership, staff, and students across the lower mainland and Fraser regions. Supports communications and recruitment activities for VFMP’s work with community groups, patient program partners and the public.

Actively creating and seeking out opportunities to raise the profile of the VFMP MD Undergraduate program.

Measuring communications effectiveness, gathering and analyzing information, preparing reports, making adjustments and revising timelines to ensure an efficient and effective delivery of information.

Providing internal communications planning and consultative support for course and education site- leads in the VFMP region including Admissions, Faculty Development, Student Affairs, and Departments; Educating clients on best practices in communications and maintenance of brand standards, especially as related to web presence, print materials and strategic communication timelines and calls to action.

Overseeing the management and development of the VFMP websites, faculty and partner recruitment campaigns aimed to grow participation in MD undergraduate teaching and patient program participation. Responsibilities include but are not limited to: content creation, feedback and focus engagement, and regular updates and maintenance.

Designing, planning, researching, writing, editing and producing content and managing production of all VFMP internal and external communications including learner information, newsletters, e-newsletters, announcements, brochures, posters, videos, learner orientation materials, etc. Works closely with the numerous VFMP academic and clinical academic site representation groups to develop and disseminate information accordingly.

Editing VFMP content (examples include feature stories, annual reports, newsletters, marketing materials, speaking notes, presentation development and messaging) for style, substance and organization; reorganizing text to create consistency in grammar, format, message and voice, recommending substantive editorial changes as needed.

Providing editorial services for the Regional Associate Dean’s presentations, internal and external messaging, and speaking engagements.

Participating in the development of workflows, policies, procedures and implementation on behalf of the Regional Associate Dean, VFMP and the VFMP Director of Administration, e.g. VFMP regional outreach, accreditation maintenance and continuous quality improvement. Measure for success and alignment and adjust accordingly.

Forecast budget needs for individual activities, advising on anomalies. Monitoring fiscal year expenditures relating to communications budget and reporting variances to the VFMP Director of Administration.

Promotes community engagement by:

Identifying opportunities and fostering engagement with community organizations, promoting equity and inclusion and supporting the social accountability of the MD program through the VFMP.

Developing and implementing comprehensive marketing strategies to increase engagement and collaboration with VFMP faculty, students, community collaborators and communities. Measuring effectiveness, reporting, and revising timelines as required.

Developing and implementing an event-based communications strategy to foster engagement from family practice preceptors, clinical teaching faculty, Faculty Development and community collaborators. Responsibilities include strategic implementation and development of onboarding and orientation materials, celebratory and milestone briefs and messaging.

Leading the development and implementation of community engagement initiatives, e.g. Travelling Roadshows and others as appropriate.

Supports the planning and implementation of internal and community events including orientations, celebrations, faculty and staff recognition, info sessions, town halls, and other VFMP and Faculty of Medicine events.

Performs other related duties as necessary in keeping with the qualifications and requirements of the position.

Leading and supporting special projects at the discretion of the Regional Associate Dean, VFMP and VFMP Director of Administration.

Participate in University committees and working groups as appropriate to support change management, adaptive process implementation and feedback looping.

Consequence of Error/Judgement

Must be able to work independently and exercise extensive judgement and sound decision-making. This position must exercise tact and diplomacy when dealing with students, staff, faculty and the public. They must make decisions on how best to manage projects given short timeframes, relative strategic importance of projects, ease of substituting one project for another given timeline priorities and staffing available, and the impact of failing to meet deadlines. The consequence of error in this area could be very serious for the university as it concerns the public image and profile of the VFMP MDUP, the faculty of Medicine and the University on a provincial, national and international level.

Supervision Received

Reports to the Director of Administration, VFMP and collaborates closely with the Manager, Communications and Strategic Initiatives in the Faculty’s Office of Creative and Communications to align efforts and to support the Faculty’s strategic goals.

Works independently within established guidelines and standards. Work is reviewed in terms of achievement of defined goals.
Supervision Given
Directs the work of internal and external service providers, including contractors, photographers, designers and printers. Direct supervisory responsibility for program staff and temporary staff/co-op students performing functions of an administrative nature relating to communications.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum five years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Experience working with senior levels of leadership to collaboratively deliver projects or initiatives. Ability to, at times, work in ambiguity and changing situations, and create effective solutions to support leadership, colleagues, learners or clients.
Familiarity with the operation and purpose of academic institutions, and a high level of writing and communication skills, partnered with confidence in working with Physicians, faculty, and senior administrators is required.
Experience working across professional portfolios and priorities within a post-secondary Faculty or administrative/service unit considered an asset. Experience engaging with policy development, deployment, and interpretation for post-secondary students, and/or public governing bodies is strongly preferred.
Experience with developing and maintaining a respectful work and learning environment in alignment with UBC and the Faculty of Medicine’s Strategic Pillars and commitments related to decolonization and Truth and Reconciliation, and the MDUP’s commitments to intersectional engagement with Indigenous and Black Pathways students and community partners.
Experience working with staff, faculty and learners with diverse abilities, gender expression, gender identity, culture, and lived experiences. Demonstrates value for, and awareness of, best-practices in respectful and inclusive collaborator engagement, supporting associated team skills development and learner engagement that upholds these practices, commitments, and values.
Experience with, and awareness of, federal, provincial, institutional and Faculty values related to developing and maintaining respectful workplace environments as well as intersectional equity, diversity, inclusion and accessibility initiative deployment. Experience promoting and modelling these values among team members and within programmatic models that are provided to students, faculty, and partner collaborators.
Demonstrated experience in community engagement, public relations, media relations, journalism or marketing and publishing communications for a large educational organization preferred. Demonstrated experience in writing for web and maintaining websites.
Flexible, comfortable working in ambiguity, and high action orientation and invigorated by change. Good understanding of university policies, procedures and processes, hospital/health authority structure and functioning preferred. Knowledgeable regarding communities within the Vancouver Fraser region.
Demonstrated writing and presentation ability for a variety of audiences. Proven editing and proofreading skills. Demonstrated experience in managing outside suppliers (graphic artists, photographers and printers). Advanced user of MS Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Creative Suite (Photoshop, Indesign, Illustrator), WordPress CMS, and communication tools/social media.
Comfortable learning new technologies. Superior knowledge of file and records classification systems and processes. Experience with audiovisual/videoconference equipment.
Strong and proven anticipatory management skills, and ability to make decisions and provide recommendations involving complex issues related to program expectations and boundaries, maintenance and development of accessible user experiences for online and print.
Ability to synthesize complex information for learners, faculty partners, staff and collaborating colleagues in person, online and in writing.
Experience with developing, implementing or delivering informative presentations, policies, training/learning materials, and feedback mechanisms to keep faculty, learners and colleagues engaged and informed.
Experience supporting change in professional work environments and supporting a team culture that supports collaboration across functional teams. Excellent interpersonal and diplomacy skills and ability to develop, maintain and nurture effective working relationships with diverse groups of students, faculty, staff or clients.
Proven track record in service excellence for learners or clients, exceptional communication skills to support partner engagement, project management, and day-to-day maintenance within a fast-paced, impactful program delivery environment.
Demonstrated ability to work effectively as a member of a multifaceted team in a results-oriented office environment. Ability and desire to lead change by supporting a vision and taking appropriate action to ensure acceptance and support across portfolio.
Proven ability to lead and guide multifaceted projects from inception to conclusion, to delegate effectively and to problem-solve. Ability to facilitate needs-analyses activities, monitor, and evaluate team-wide projects, deliverables and create reports within allocated time and resources.
Ability to analyze problems, identify key information and issues, and effectively resolve and develop best-practices and solutions with key collaborators.
Ability to work evenings and weekends according to program needs and program delivery timeline fluctuations. Ability to travel for ad hoc site visits, conferences and professional development opportunities. Ability to contribute to other VFMP/MDUP projects and duties as required.
Ad-hoc use of personal/public vehicle or transit as required. The program operates at hospital sites and at clinical academic environments across the Lower Mainland and Fraser Valley and at times requires travel between venues.
