The Opportunity:
UCF's Office of the President seeks candidates for a Constituent Services Coordinator. The Coordinator serves as a welcoming face and first point of contact for the Office of the President. This is a pivotal position that shapes how the university engages with its most important audiences, including students, families, faculty, staff, and community members. This role is essential in managing sensitive inquiries, supporting office operations, and ensuring a seamless experience for all who engage with our office.
The primary responsibility of the Constituent Services Coordinator is to oversee and work alongside relevant leadership members across the University regarding any/all university constituent matters related to customer service needs and complaint handling, many times involving confidential and sensitive matters and complex problem-solving. In addition, the role will serve as the main contact for front desk operations and provide general administrative support. The role is designed to work independently, with limited supervision.
This is a highly visible, people-centered role, and requires the selected candidate to work on-site full time at UCF's Main Campus.
Classification Title: Administrative Coordinator III
Responsibilities:
Handles high-level and complex concerns or complaints from any/all university constituents. Provides strong customer service and problem-solving of such. Involves relevant leaders across the University, as applicable, and uses sensitivity and confidentiality protocols as relevant.
Manages front desk offices activities; serves as the first point of contact for entry into the President's Division; greets constituents and answers phones. Checks and triages all inbound emails. May schedule and supervise student workers.
Provides general administrative support as necessary, to include but not limit to items such as: providing reports; reviewing and analyzing data; preparing meeting rooms; managing files and records; handling office supplies and inventory; some calendar and meeting management.
Serves as back-up to other area administrators as needed.
Miscellaneous complex project work and support as needed.
Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
4+ years of experience in a customer service, administrative support, or office management role.
Experience supporting senior leadership and managing executive calendars.
Experience with project management and project management platforms (Asana or similar).
Familiarity with Customer Relationship Management software (CRM) such as Salesforce, Oracle, or similar.
Proficiency with Microsoft Office Suite.
