Position Summary
Under general supervision, the Temporary Administrative Specialist, Institutional Equity assists staff members with the administration of the Office of Institutional Equity (OIE) to ensure National University regulatory compliance efforts for Civil Rights, Title IX, and related diversity/equity/inclusion (DEI) matters. The Specialist transcribes notes, audio recordings, and virtual meeting transcription into written documents. Receives recordings from staff, listens to the audio, and creates a coherent, written document. In many cases, the incumbent expands on sentence fragments or audio notes to create something readable and understandable. May also expand on shorthand written notes or transcribe live dialogue during interviews and meetings.
Essential Functions:
- Assist in ensuring that the administrative operations of the Office of Institutional Equity meet all Federal, State, local, and University rules, regulations, policies, and procedures.
- Transcribe interviews and meetings:
- Listen to and write out audio recordings from virtual interviews and meetings.
- Expand on the shorthand notes of the office staff.
- Review and edit transcriptions before uploading them to the Maxient case management system.
- May assist office staff with incoming Title IX/Civil Rights complaints/grievances, to ensure a fair and timely response:
- Ensures accurate and thorough records and notes of the intake process.
- Escalates highly complex complaints to Title IX Coordinator, when appropriate.
- Utilizes the Maxient case management system to organize grievance files, disposition records and reports, and other compiled records regarding complaints or inquiries received.
- Keep abreast on state and federal laws, regulations, and statutes relating to gender-based violence, non-discrimination and harassment, including but not limited to Title IX, Title VI, Title VII, ADA, Clery, Campus SaVE (Sexual Violence Elimination Act) and VAWA (Violence Against Women Act).

Requirements:
Education & Experience:
- High school diploma required.
- Minimum of one (1) year of related experience preferred.
- Certificate in transcription highly preferred.
- Certification types preferred: NCRA/NVRA/AAERT/CSR.
- Experience in higher education preferred.
- All skills, abilities and education will be considered for minimum qualifications.
Competencies/Technical/Functional Skills:
- Excellent listening and strong typing skills.
- Demonstrated knowledge about Title IX, VAWA, Campus SaVE and other related civil rights regulations preferred.
- Knowledge, training, and/or experience conducting Title IX or EEO investigations preferred.
- Demonstrated high level of teamwork, initiative, dependability, versatility and flexibility

- Knowledge of laws prohibiting discrimination, harassment, and retaliation, including applicable case law, regulations, guidelines, and trends. Working knowledge of best practices as they relate to institutions of higher education compliance with Title VII, Title IX and VAWA, Campus SaVE, ADA/504 and other related civil rights regulations.

- Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals of constituencies in a diverse community and exercise discretion while sustaining confidentiality. Ability to communicate effectively orally and in writing.
- Work independently and foster a cooperative spirit within a large and/or small team of diverse cultures, while working in a fast-paced environment with multiple deadlines and frequently changing priorities.

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate’s qualifications, skills, and competencies.
