Job Summary
Green College is an interdisciplinary residential college that promotes cross-disciplinary dialogue, creativity, and belonging. We offer free public lectures and performances, with the opportunity to extend the conversation over good food in our beautiful heritage setting. Around 100 resident members – comprised of UBC graduate students and postdoctoral scholars – live at the college year-round. This group of residents is regularly joined by visiting scholars, artists, and innovators who briefly call the college home, and together they create a unique and vibrant academic community at UBC. The college offers approximately 70 public events each year, and also hosts workshops and private events planned by UBC faculty and Green College members.
The events and content lead provides complex coordination, tracking, and communications for logistical matters relating to the college’s public, departmental, and membership events. They play a key role in advancing the college’s reputation as the hub of interdisciplinary activity at UBC by organizing and executing the logistics required for hosting over one hundred events a year (public, departmental, and college), developed in coordination with a wide range of co-organizers from within (and external to) UBC. The events and content lead oversees the full event organizational cycle for events. The role is also responsible for the creation, scheduling, and delivery of a range of print and digital media in coordination with college team members. This position requires exemplary project management and time management skills, discretion, hosting skills, troubleshooting abilities, excellent writing and copyediting abilities, and leadership. Please note that the normal hours for this role during the regular academic year are 10:30 am to 6:30 pm, Monday to Friday, to overlap with the public programming schedule.
Organizational Status
This position reports to the assistant principal, programs. The incumbent works closely with the development and society member lead, the hospitality coordinator, and provides support and regular event communications to the principal. The role works closely with faculty, staff, resident members, institutional partners, and other stakeholders regarding Green College events. The incumbent liaises with internal and external stakeholders.
Work Performed
Manages the organization and delivery of public and departmental events, including room bookings, liaising with the Dining Society, scheduling, video capture and publishing, advertising; equipment maintenance and inventory; refers unusual or out-of-policy situations to the assistant principal, programs;
Organizes the delivery of resident committee events as directed by the assistant principal, operations;
Manages the organization and delivery of major college events, including the Welcome Gala, Winter Gala, Founders’ Dinner, Spring Gala, and Leavers’ Dinner;
Ensures the smooth execution of events, including troubleshooting issues with stakeholders; giving tours and presentations as required; undertaking any necessary follow-up to resolve concerns and complaints;
Develops, operates, and maintains organizational systems related to event management, and ensures that this system is accessible to the college team as needed;
Works closely with convenors and speakers on event logistics and marketing; secures lecture content and media assets for lecture promotion; maintains events records;
Responsible for organizing public events setup, testing, and teardown for in-person and online events; regularly attends and supports lectures (daytime and evening); ensures setup details are in order; hires, trains, schedules, and mentors a team of part-time graduate student academic hosts. Solves last-minute problems with room arrangements/equipment etc.;
Organizes travel, accommodation, honoraria, and hospitality arrangements for special visitors and residencies at the college, in coordination with the assistant principal, programs;
Advises on university and college policies and procedures to internal and external stakeholders;
Leads in the creation and distribution of advertising materials for public events, including but not limited to: the website, newsletters (Green List in coordination with the assistant principal, programs, and the Weekly Bulletin in coordination with the membership coordinator), recorded lectures, signage and posters (event and series posters, including design), and inter-UBC promotional emails (including cross-listing with UBC Today);
Supports the development and society member lead in creating assets for public events communications and promotions external to UBC; in sharing public event content for the creation of social media campaigns; and in preparing public programming content for the annual report;
Independently maintains the content and look of the webpages that fall under the “public events” menu on the college’s website, and in particular builds out upcoming event pages once content is approved by the assistant principal, programs; provides managerial oversight of the maintenance of the content on the college’s website, directing college staff to maintain and update their delegated portions regularly, and developing and populating a maintenance schedule; stays apprised of best practices associated with higher education websites and advises the principal of any changes needed;
Provides overall management of college event spaces;
Manages scheduling, booking, catering, document circulation, minute-taking, and all related logistics associated with the college’s academic committee;
Maintains the college's style guide;
Develops and tracks public events and membership events analytics;
Provides minute-taking and communications support for programming meetings and institutional partnership agreements when they occur, as directed by the assistant principal, programs
Provides backup managerial supervision of office staff in the absence of the assistant principals and principal;
Performs other related duties as required.
Consequences of Error/Judgement
Must exercise considerable judgment in initiating and carrying out work for events and programming at the College. Poor judgment could lead to financial and reputational loss for the college. The incumbent must make decisions and exercise judgment independently based upon a thorough knowledge of procedures, guidelines, and regulations. Mismanagement of the college events, programming, posted materials, and engagement on social media may result in significant reputational damage to Green College.
Supervision Received
Works independently under the broad direction and supervision of the Assistant Principal, Programs. The incumbent is expected to take initiative, problem solve, determine the course of action, and follow through.
Supervision Given
Recruit, train, mentor, schedule, and supervise three to five graduate student academic hosts. Provides dotted line oversight of the hospitality coordinator in the management of major college events, and when support for other events is needed. Provides occasional (backup) supervisory oversight to Green College staff.
Minimum Qualifications
- Undergraduate degree. Minimum of one to two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications
Excellent writing and proofreading abilities are required. Excellent time management and project management experience are required. Experience in a culturally diverse environment is an asset. Experience in the hospitality industry or event management is an asset. Intermediate proficiency with desktop publishing (Canva, Adobe) and graphics software an asset. Intermediate experience with website content management systems an asset. Excellent oral communication skills and hosting abilities are required. Ability to exercise initiative, anticipate problems and issues, and plan ahead. Ability to understand and apply policies, procedures, and instructions. Ability to perform word processing at 50 words per minute. Ability to deal with people in a courteous, calm, and helpful manner. Ability to exercise tact and discretion.
