Job Summary
The Projects Lead supports the Faculty of Medicine vision To Transform Health for Everyone through the successful delivery of digital initiatives within the Faculty of Medicine’s Digital Solutions team and directly overseeing key initiatives.
This role is responsible for leading cross-functional project teams, managing interdependencies, and ensuring effective communication across collaborators. The Projects Lead collaborates closely with the broader UBC community – including our collaborators within Faculty programs and units, as well as distributed and central UBC IT teams – to understand deliverables, project goals, manage expectations, and align deliverables with the services offered by Digital Solutions. The Projects Lead oversees the full client engagement lifecycle, from initial intake and scoping through to execution and project closure, ensuring that projects are delivered on time, within scope, and aligned with strategic priorities.

Together with its University and Health Authority partners, the Faculty delivers innovative programs and conducts research in the areas of health and life sciences. The UBC Vancouver Campus is located on the traditional, ancestral, and unceded territory of the xʷməθkʷəy̓əm (Musqueam) people. The City of Vancouver is located on Musqueam, Squamish, and Tsleil-Waututh First Nations territory.
This position reports to the Manager, Governance, Strategy and Planning within the Faculty of Medicine, Digital Solutions and is an integral member of the Governance, Strategy and Planning team. This position works with delivery partners and collaborators at the Dean’s Office or directly with units, center and departments to plan for changes within the Faculty of Medicine.
Work Performed
- Oversees, leads and manages multiple complex projects and engagement initiatives driving IT governance through the design and maintenance of current and future systems in collaboration with internal and external collaborators.
- Provides strategic oversight, work direction and leadership to assigned project teams within or across units, including scheduling, assignment of work, review of project efforts and removal of roadblocks which may inhibit project success, conducting team meetings; ensures that all projects are delivered on-time with the project team. Responsible for providing regular status reports to Leadership and stakeholders. Manages the project teams’ expectations and fosters excellent communication in a collaborative environment.
- Prepares and develops project plans to identify goals, objectives, risks and assumptions. Monitors the scope, schedule, budget and other key aspects to ensure successful project delivery through to completion. Identifies resources required to produce planned deliverables. Develops methodologies for improving procedures and coordinates system assessments, architecture and implementations .
- Initiates projects following appropriate project management methodology including gathering and defining project requirements, developing project charters, project plans, budgets and schedules, and forming project teams. Identifies and recommends potential improvements in current methodologies.
- Develops and maintains a productive working relationship with internal and external collaborators.
- Leads the use of collaboration tools to support business needs and outcomes. Ensures compliance with relevant UBC policies, procedures and standards.
- Maintains appropriate professional designations and up-to-date knowledge of current project management techniques and tools.
- Performs other related duties as required.
Consequence of Error/Judgement
This role requires excellent judgement and initiative. Errors could have a significant impact on the success of project delivery, budgets, and could compromise sensitive data and put the Faculty in reputational risk. This would compromise the faculty’s ability to achieve its strategic goals and vision.
Supervision Received
Works under the general direction of the Manager, Governance, Strategy and Planning and may take feedback or direction from Digital Solutions Leadership. Must be able to work independently, carry out work to completion as well as contribute actively and collaborate openly as a team member.Keeps the team informed of the status of work in progress. Works on tasks to meet deadlines on various projects. Works within general policies and an administrative framework. Work is reviewed in terms of achievement of desired results.
Supervision Given
This position works as a member of the Faculty of Medicine’s Digital Solution’s group and may provide mentoring and coaching to new or less experienced project managers, as well as provide leadership and education to other staff within the team as it relates to demonstrated areas of expertise. May supervise work of other project team members on a project.
Minimum Qualifications
Undergraduate degree in a relevant discipline. In-depth knowledge of applications and the business requirements supporting them. Minimum of five years of related experience, or the equivalent combination of education and experience.
