Department: Educational Technologies
General Statement of Job
The Manager of Educational Technologies Administrative Services is responsible for assisting the Assistant Director of Educational Technologies in organizing and managing administrative functions, including inventory, financial operations, and administrative services. The responsibilities include reporting and managing the department's budget and financial operations.
Specific Duties and Responsibilities
Essential Functions:
- Supervises all areas related to administrative services and inventory management.
- Responsible for assisting in the development of the capital, operating, and M&R budget with designated EdTech staff, in the preparation and implementation of the annual budget.
- Develop and implement policies and procedures to support and achieve the department's goals and objectives.
- Performs risk assessment analysis and develops project plans, including a work breakdown structure.
- Collaborates with the Director of Educational Technologies to develop and maintain professional growth and training plans for team members.
- Monitors, regulates, and evaluates all administrative activities for compliance with institutional policies and procedures.
- Facilitates workflow and communication between offices and departments within and outside the division, including disseminating information, tracking tasks and assigned tasks, managing communications, evaluating feedback, and coordinating division-wide events.
- Provides direction and support to designated staff, ensuring high levels of motivation, collaboration, and performance.
- Coordinates training, mentoring, and advising EdTech staff.
- Prepares and coordinates the preparation of periodic and special reports, including monthly and weekly activity reports, financial reports, Institutional Effectiveness plans, and other reports as assigned.
- Supervises inventory and accountability audits.
- Develops presentations and presents to faculty and staff.
- Schedules and facilitates team meetings.
- Manages HR-related issues, documentation, and staffing requests.
- Coordinate travel and conferences applicable to department staff for professional development.
- Provides financial management, accounting, reporting, and research related to project goals and deliverables.
- Identifies opportunities for business process improvements to provide cost and work effectiveness.
- Conducts performance assessments and evaluations of administrative initiatives, coordinates and conducts inventory audits to enhance staff efficiency and effectiveness.
- Performs other duties as assigned.
Required Education and Experience
- Bachelor’s degree in a related field is required. Master’s degree preferred.
- Minimum three (3) years of relevant experience is required.
- Minimum three (3) years of supervision experience required.
Required Knowledge, Skills and Abilities
- Excellent oral, written, presentation, and interpersonal communication skills.
- Strong computer skills with knowledge of Microsoft Office, including but not limited to Word, Excel, PowerPoint, Outlook, the Windows environment, and internet research skills.
- Demonstrated knowledge in handling multiple projects, large budgets, making difficult decisions, and implementing action plans in a cooperative yet responsive team environment to achieve desired goals.
- Proven excellence in planning, decision-making, and organization.
- Ability to adapt to constant change and periods of fast-paced, high-intensity work situations.
- Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using our means of reliable transportation.
- Is able and equipped to complete typical tasks remotely as needed.
- Demonstrated commitment to achieving the vision and mission of South Texas College.
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

- Ability to effectively present information to top management, employees, public groups, and/or boards of directors.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret a wide variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Physical Requirements
