The Student Services Administration Team in Student Experience and Support is currently seeking a Full-time Limited Term Student Affairs Operations Coordinator for approximately 12 months.
Student Affairs includes the following service delivery teams: Centre for Career and Personal Development, International Student Services, Sexual and Gender-Based Violence Prevention and Support, Student Conduct Office, Student Success Centre and Writing Symbols Lodge. Operationally, the Student Ombuds also works with the Senior Director, Student Affairs. These teams all support student care, retention and success.
Reporting to the Sr. Director, Student Affairs, the Student Affairs Operations Coordinator oversees administrative operations for the Student Affairs portfolio and primarily supports the Senior Director, Student Affairs and the Director, Student Care, Conduct and Accountability, who have oversight of these teams. Additionally, this position provides administrative support to specific management roles and functions within the Student Affairs portfolio.
This position is located on Main Campus and works 35 hours a week, Monday to Friday. The nature of the work may require the Coordinator to work occasional weekends and evenings.
Summary of Key Responsibilities (job functions include but are not limited to):
- Works directly with the Senior Director, Student Affairs and the Director, Student Care, Conduct and Accountability to support all aspects of their daily work routine, including monitoring and maintaining calendars (scheduling meetings, appointments, workshops, and travel arrangements (may include domestic and international).
- Exercise discretion in committing time and evaluating needs. Monitor for, and manage scheduling conflicts as required.
- Provides administrative support as needed to the Specialist, ACT and the Student Ombuds (scheduling support for larger meetings including training sessions, supporting calendar when required due to unexpected absences from office, triage requests for urgent meetings etc.
- Supports strategic plan related SES committees and working groups, including scheduling meetings, organizing meeting documents, engaging in research and report writing, communicating with committee members about deadlines and deliverables etc.
- Coordinates training and professional development opportunities for the Student Affairs portfolio, including liaising with speakers and organizing training dates.
- Provides administrative support and onboarding coordination for any direct reports to the Sr. Director, Student Affairs and the Director, Student Care, Conduct and Accountability including supporting hiring processes (contacting candidates, scheduling interviews, supporting hiring panels, submitting job opening and job change requests, processing template-based hires) and onboarding new extended leadership team members within the portfolio.
- Provides administrative support to processes related to non-academic misconduct hearing boards and the Student Crisis Response Team, including scheduling in-service training and meetings.
- Processes financial transactions within PeopleSoft (expenses, procurement, p-card reconciliation, and travel & expense card reconciliation) for the Sr. Director, Student Services.
Qualifications / Requirements:
- A bachelor¿s degree is required.
- At least 2 years of experience working in post-secondary student affairs, including demonstrated ability to support senior administrative staff.
- Experience in the supervision of student staff is preferred.
- Knowledge of operations within Student Experience and Support is preferred.
- Demonstrated ability to meet goals and objectives while being highly organized and able to work through details independently.
- Ability to act decisively and to exercise a high degree of initiative and judgement.
- Excellent presentation and communication skills.
- Excellent writing and composition skills.
- Excellent problem-solving skills.
- Ability to manage competing priorities.
- Strong organizational skills.
- Knowledge of University of Calgary business systems (PeopleSoft, Maxient) and financial policies, procedures and operations an asset.
- Highly proficient with Microsoft Office applications (Word, Excel, PowerPoint).
- Knowledge of privacy legislation and university records management/retention policies.
- Proven ability to work independently as well as ability to multi-task and meet deadlines.
- High degree of accuracy and attention to detail.
