Job Summary
The Strategy and Partnerships unit of Campus Security supports the planning, prioritization, and implementation of programs within the Campus Security portfolio. The Program Coordinator will own specific projects composing departmental program activities and coordinates the research, planning, prioritization, initiation, implementation, and maintenance of these projects. The position will ensure programs are developed in alignment to regulatory compliance, efficient departmental workflows, and stakeholder needs. The Program Coordinator works under the direction of the Manager, Program Delivery and will work collaboratively with cross-functional Campus Security teams.
Organizational Status
Reports to the Manager, Program Delivery.
This position works closely with Campus Security leadership, as well as stakeholders involved in various program and project activities.
Work Performed
- Manages the planning, implementation and close-out activities for projects that compose broader program development and maintenance for the department.
- Conducts benchmarking, research, and analysis; manages project timelines; monitors project progression against project plans; and re-negotiates project schedules to ensure project completion according to timelines.
- Facilitates strategic work planning, prioritization, and resource allocation activities for the department through stakeholder engagement, research, and analysis. Provides recommendations on annual program activities.
- Manages key departmental KPI’s and creates associated reports, including through the Annual Reporting cycle and other program performance metrics.
- Manages budget intake and review processes for the department, including working with the Manager, Program Delivery on the development of Service Level Agreements with campus partners.
- Liaises across Campus Security units and other key stakeholders in the initiation of projects, documentation, archiving, and project controls to ensure projects run smoothly.
- Researches and writes documentation, including department policies, procedures, guidelines, and training materials.
- Develops and implements internal communication tools, business processes, and project management workflows for use across the department, to provide business directions, project status, scope changes, and milestone achievements.
- Facilitates program and unit meetings. Participates in department and/or unit meetings, workshops, and training as required.
- Develops positive and productive working relationships with stakeholders and manages day-to-day communications with stakeholders, including engagement and change management activities relating to Campus Security programs.
- Gathers and synthesizes information from stakeholders and a variety of other sources, refines project requirements and develops small modules of larger program implementation and maintenance plans with support of senior members of the team.
- Manages the development, analysis, and implementation of campus-wide security communications, such as creating updates to the Campus Security website and stakeholder communications. Works closely with the VPFO Communications Team as appropriate.
- Performs other duties as needed/or required to meet operational needs.
Consequence of Error
This position works independently under broad direction. The incumbent is expected to use sound judgment to respond to frequently changing conditions and priorities and to prioritize assignments accordingly. This position must incorporate knowledge of the University and Campus Security department policies and procedures. Work must often meet tight deadlines and requires the incumbent to perform well under pressure.
Makes decisions regarding administrative processes and procedures, and resource allocations. Inappropriate judgement or premature disclosure of confidential, sensitive or incorrect information could have a detrimental effect on Campus Security operations. Poor execution of duties can lead to decreased productivity of operations, service failure, and the potential of impacting the culture, environment and moral of staff within the unit.
Supervision Received
Works independently under the direction of the Manager, Program Delivery, in assigned areas of responsibility. Performance is evaluated against set goals and expectations.
Supervision Given
Oversees external consultants as required. May train and supervise work-learn students.
Minimum Qualifications
- Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.
- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion
- Experience in project coordination and management with a variety of stakeholders.
Preferred Qualifications
- Experience in a university environment is highly desirable. Knowledge of University policies, procedures, governance and administrative systems preferred. Knowledge of security and safety programs is preferred.
- Effective oral and written communications, with the ability to compose clear and grammatically correct correspondence and business documents for a variety of situations.
- Must possess excellent computer skills, communication (oral and written), and organizational skills.
- Self-directed and willing to take initiative in relation to carrying out assigned tasks.
- Ability to create visual graphic materials such as infographics, concept plans, space layouts.
- Ability to manage multiple projects simultaneously and submit quality work within deadlines.
- Proven ability to work independently and to work in collaboration with others to achieve goals. Excellent interpersonal and team skills.
