Job DescriptionThe Visitor Center Associate will work independently and as a member of a team within the Office of Undergraduate Admission as we enroll competitive incoming classes with a wide range of backgrounds and talents. The annual cycle of the admission has the Visitor Center Associate performing and working in a variety of functions throughout the year.
As the first point of contact for more than 70,000 admission visitors each year, and the management and oversight of all functions within the admission lobby, the Visitor Center Associate’s work is far reaching and critically important to the University’s success.
The Visitor Center Associate reports to the Senior Associate Director of Undergraduate Admission, Campus Programming & Visitor Experience.
ESSENTIAL RESPONSIBILITIES
Front-Line Admission Visitor Center Management (70%)
- Serve as the point of first contact for more than 70,000 student, parent, school counselor, and Community-Based Organization admission visitors, annually.
- Staff the admission lobby desk, greet visitors, manage check-in and parking validation, connect students with campus partners, trouble shoot problems on-demand, and provide a first-rate visitor experience for all who enter the office.
- Assist in facilitating the execution of student greeters, class visit hosts, and tour guides, to ensure timely execution of visit programs. This is completed in conjunction with Student Admission Program leaders, professional staff, and the Sr. Assoc. Director of Undergraduate Admission, Campus Programming & Visitor Experience.
- Mentor current student volunteers in performing high-level customer service for our guests.
- Manage Organization and High School Visit scheduling, registration, on-campus meals, on-site contact, and other requests, as appropriate. Coordinate with Student Admission Program volunteers to ensure adequate volunteer coverage for programming.
- Work closely with faculty and campus administrators throughout campus to book use of admission auditorium spaces for evening events, work with Events Management to coordinate logistics, and secure space during and after events.
- Work with the Office of University Communication to update reception area video content. Coordinate with Senior Associate Director of Admission Recruitment and Communications to monitor and manage inventory of lobby publications.
- Serve as office liaison with facilities, technology vendors, the Boston College Police Department and other campus-wide constituents, relative to ensuring a seamless and professional visitor experience.
- Lead execution of fall Saturday visit days and assist with Spring weekend yield events.
Admission Systems (20%):
- Build reports within Slate CRM to analyze the effectiveness of campus visit programming to inform future needs, monitor the Slate inbox for text message replies from prospective students and families, and create/monitor survey results to aid other professional staff in planning future programs.
- Coordinate technical aspects of the admission and communication processes within the Slate CRM and applicant tracking system, including but not limited to: record maintenance, data and reporting, query and report building, event/webinar creation, registration, and office email communication flows.
Communications Responsibilities (10%):
- Support the front-line customer service team in assisting with responding to inquiries via telephone and email.
Additional Responsibilities, as assigned.
Hiring Range: $24.92/hr to $31.15/hr. Pay rate commensurate with relevant experience.
Requirements- Bachelor's degree from an accredited college or university preferred.
- 2 years of related administrative support experience.
- Excellent verbal and written communication skills.
- Enthusiasm for representing Boston College to students, families, and school counselors.
- Commitment to enrolling, mentoring, and engaging with students and families from a wide range of backgrounds.
- Ability to effectively communicate Boston College's distinctive mission as a Catholic, Jesuit university.
- Desire to collaborate interdepartmentally throughout the Boston College Community.
- Proficient with Microsoft Office (Word, Excel, PowerPoint). Experience in Slate CRM, desired.
- Additional evening and weekend work required on occasion.
