School of Continuing Studies, Administration and Governance | Parliamentary Programs
Position Summary:
Under the direction of the immediate supervisor, the incumbent may perform some or all of the listed general administration functions. These functions are of high complexity and the incumbent performs them using general instruction.
Typical Functions:
Organizes individuals as well as events such as meetings, workshops and sessions.
Performs data entry and simple analysis on enrollment statistics.
Acts as a liaison between the unit and internal or external parties to provide various assistance or information. This may include addressing, transferring, or escalating e-mail correspondences sent to the departmental account(s).
Performs specific expense analysis via bookkeeping and expense claims. Creates reports and assists with budget preparation.
Creates various other reports when needed.
Collects and enters data into established databases.
Acts as a resource person to resolve various issues that may arise during planning, scheduling and events.
Schedules appointments and meetings when required. Books rooms and orders catering through established system.
Performs basic word processing functions such as, document formatting, labelling, spellcheck, mail merge, drafting letters from template
Document preparation of forms, exams, marketing materials and emails. Such preparation may include sorting, collating, filing, scanning, photocopying and shredding.
Bilingual (English /French) an asset.
Must be willing to work on campus (downtown Montreal).
The list of functions outlined above is representative and not a complete and detailed list of tasks which may be performed by an incumbent. For example, incumbents may be asked to perform some elements of Office Assistant level “A” and/or “B” in addition to the above listed functions.
