Position Summary:
The Admissions Officer plans, organizes, and implements recruitment, admissions and registration processes for the Faculty of Dental Medicine and Oral Health Sciences’ clinical programs comprising the undergraduate and postgraduate residency programs, in support of the University's mission of academic excellence. This includes, but is not limited to, the planning, development, co-ordination, implementation and maintenance of the University's programs, admissions, recruitment, and registrar activities, as well as the creation and maintenance of student records, government reporting, placement and counseling of students, development of standards and practices as it relates to programs and student acceptance criteria, administration of financial aid policies, communication related to immigration issues and legal policies, the performance of the unit's administrative function and the management of student records and expenses. It also includes the monitoring and co-ordination of projects, the development, implementation and maintenance of information strategies focusing on the needs of prospects, applicants, applicants' parents, guidance counselors, students, faculty and administration members and the development and maintenance of relations with high schools, CEGEPs, colleges, other universities, employers and student associations concerning the placement of students, program offerings, and student services related matters.
Primary Responsibilities:
Carry out and ensure thorough academic review of applications to Doctor of Dental Medicine Program (D.M.D.) and residency programs and its multiple admission pathways in a highly competitive process. Review, analyze and manage decisions on admission eligibility of applicants from diverse backgrounds, considering multiple sources of information.
Undertake research and develop recommendations to enhance recruitment and admissions activities, such as establishing special pathways in support of the faculty’s overall goal of graduating more socially aware, culturally sensitive, and community-oriented practitioners committed to improving oral health care access.
Advise prospective dental students, and International Dental Graduates (seeking requalification) as well as implement applicant support activities (through information sessions and in one-on-one meetings); communicate up-to-date information on criteria, process prerequisites and eligibility. Liaise with Cégep, Universities and other faculties of dentistry for our DMD programs and for our residency programs. Advise Cégep and University students and academic counselors about admission requirements and procedures at information sessions. Develop, maintain, and improve the undergraduate and postgraduate prospective students’ website in French and English.
Develop and implement communications strategy around recruitment, selection processes and outcomes (presentations, website, and official correspondence with applicants and stakeholders) in English and French. Write, organise, and supervise the production of publications to promote, advertise and disseminate information about the clinical undergraduate and postgraduate programs and their respective pathways with the goal of increasing the faculty’s diversity.
Monitor the performance and effectiveness of selection tools and assessment practices in collaboration with unit colleagues and relevant university offices. Recommend improvements based on performance analysis and admissions best practices. Maintain and develop computerized information systems. Compile and produce admissions statistics as required by the University as well as provincial, national, and international organizations.
Manage, improve, and oversee the Student Ambassador Program for the DMD admissions. Provide training and supervise the Student Ambassadors and oversee their recruitment activities.
Plan and manage the organization of admissions meetings, conferences, and special events. The incumbent is accountable for the follow-up of business.
Manage training and orientation on admissions (e.g., calibrate reviewers and interviewers in the evaluation and selection of candidates). Work with external vendors and School of Continuing Education for admissions processes.
Support of unit reporting and compliance obligations to various internal governance and external overseeing bodies, including analysis of data and statistics.
Represent unit at internal and/or external meetings.
Oversee day-to-day activities of the admissions office; supervise support staff; verify work and ensure deadlines are met.
Other Qualifying Skills and/or Abilities:
Demonstrated knowledge of processes and procedures related to dental admissions or similarly competitive professional programs. Prior relevant experience with dental clinical admissions including the dental match process will be an asset
Significant experience in the evaluation of academic transcripts (Cégep and university levels). Ability to work with international transcripts.
Excellent verbal and written communication skills in English and French, including professional writing, and demonstrated experience in developing and giving presentations.
Experience working with diverse populations; emotional intelligence and empathy
Proven ability to communicate effectively with diverse constituencies on matters of policy, process, and application outcomes.
Experience with recruitment, student/applicant support and/or advising. Experience with the development of web-based communications.
Excellent judgment and ability to make difficult decisions.
Excellent time and project management skills.
Experience with relevant software (especially Slate Minerva and Excel). Proven ability to analyze data and statistics for the purposes of reporting, quality improvement and identification of trends.
Experience with staff supervision.
English and French, spoken and written.
Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
