Job DescriptionThe Administrative Assistant to the VP provides high level administrative support to the Vice President of the Division of University Mission and Ministry to include responsibility for managing and maintaining the calendar, scheduling and coordinating appointments, events and meetings, serving as a liaison with internal and external constituencies and the organization of data, reports and other meeting materials and information either personally prepared or received from others. Handles highly sensitive, confidential information and situations requiring the attention of the Vice President. The incumbent also prepares correspondence and other documentation and makes travel arrangements. Responsible for interviewing and hiring of work study students and the ongoing supervision of their work in the office.
This position provides high-level administrative, operational, and governance support to the Vice President, Associate Vice President, and Director of Campus Ministry within the Division of Mission & Ministry. The Administrative Assistant manages daily operations of the Office of Campus Ministry, and assists with managing and maintaining calendars for the VP, AVP, and Director, scheduling, coordinating logistics for events and meetings, including Mission and Ministry subcommittee board meetings, serving as a liaison with internal and external constituencies and the organization of data, reports and other meeting materials and information either personally prepared or received from others. Handles highly sensitive, confidential information and situations requiring the attention of the Vice President. Responsible for interviewing and hiring of work study students and the ongoing supervision of their work in the VP’s office and the office of Campus Ministry.
Hiring Range: $25.60/hr to $32.01/hr. Pay rate commensurate with relevant experience.
Requirements- Bachelor's degree or equivalent preferred.
- A minimum of five years of increasingly complex administrative support experience with some experience working for a high-level administrator.
- Prior experience coordinating office events and special projects as well as higher education experience is preferred.
- Excellent interpersonal, written and verbal communications skills.
- Demonstrated organizational skills along with the ability to prioritize the workload.
- Must be able to handle competing demands in a fast-paced environment.
- Possesses a high degree of discretion, judgment and diplomacy.
- Ability to learn and work with office-specific software.
- Attention to detail and analytical skills.
- Ability to research and find solutions to large and small problems that arise in the course of an academic school year.
- Occasional early morning briefings, or after hours as needed, and occasional weekend support is needed.
