The Faculty Development within VP Development and Alumni is currently seeking a Full-time Regular Development Coordinator (Schulich School of Engineering).

The Office of Development and Alumni exists for the mutual benefit of the University of Calgary and its stakeholders, coordinating development, alumni relations, communications, and community partnerships.
The Development Coordinator will provide administrative assistance with emphasis on decision-making and highly developed organizational skills in support of the Schulich School of Engineering. The ability to anticipate needs, plan, organize, coordinate, and perform work with no or very little direction is a strong requirement. Strong time management skills, with the ability to set own priorities, and to manage and prioritize multiple tasks to deadline is essential.
The incumbent will work with key staff in the faculty, including the Dean of the Schulich School of Engineering, as well as Development team members. The Development Coordinator is often the first point of contact for the Development leads, and has access to highly sensitive and confidential information, and interacts with key external stakeholders including donors, alumni and community leaders.
The Development Coordinator requires knowledge of Development, Alumni and Community Engagement as well as Communications, and the processes and functions of the units within. Systems utilized for day-to-day business; BBCRM, NetCommunity, Development Request System and SharePoint. Strategic thinking, sound judgment, professionalism, interpersonal skills, efficient data entry and business communication skills, combined with accuracy and attention to detail will be required.
The primary purpose of this position is to support the Schulich School of Engineering Development leads to ensure the goals and objectives of the faculty are supported by achieving alumni and community engagement and fundraising targets.
The position requires the ability to use discretion, maintain professionalism, confidentiality and composure under pressure, demonstrate adaptability and flexibility, provide efficient, quality service to all stakeholders, and often requires multi-tasking and the ability to deal with simultaneous priorities. The incumbent of this position requires a high level of independence and initiative and must have the ability to anticipate and strategically manage the workflow.
The volume and difficulty of the work varies from routine to complex. Having the ability to work in a fast paced, team environment, and under stressful situations, the need for accuracy, dealing with continuously shifting priorities, and a high traffic workplace with frequent interruptions is key to the success of the incumbent.
Summary of Key Responsibilities (job functions include but are not limited to):
- Building and cultivating relationships with donors, alumni, key community stakeholders and members of business community through excellent relationship building skills.
- Supporting development team in all aspects of donor/prospect meetings:
- drafting briefing notes for donor meetings
- requesting and analyzing research
- developing strategies for approaching donor prospects
- preparing subsequent updates
- drafting required communication
- recording contact reports in BBCRM
- Requesting, booking and confirming of appointments, scheduling meetings, event attendance, etc.
- Managing the BBCRM donor database including:
- Requesting updates to the database for the Schulich School of Engineering
- Creating and interpreting sophisticated data queries and reports
- Maintaining donor and volunteer lists
- Managing list of key stakeholders
- Entry of all other donor advancement actions into BBCRM on a timely basis assuring up to date information on donor/prospect relationship.
- Compliance with the university's prospect management procedures.
- Supporting priority fundraising projects with prospects lists, financial and monitoring reports.
- Maintaining donor records via shared drive and hard copy files.
- Managing electronic and paper files for the teams.
- Drafting of gift documentation including terms of reference for student awards and gift agreements.
- Processing donations and donor designations to support sound financial management of philanthropic gifts (submission of Gift Designation Forms, processing of Gift Agreements, Checklists and Terms of Reference).
- Generating well-written correspondence from self and on behalf of the Development team.
- Supporting the processes and systems developed by the Schulich School of Engineering development leads in its activities (e.g. Constituent relationship management (CRM) data entry).
- Performing other related duties as required.
Qualifications / Requirements:
- A minimum of 3 years experiences directly in fundraising, community engagement or communications is required.
- A university undergraduate degree would be considered essential.
- Advanced-level skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) including specific knowledge in the functions of complex scheduling, mail merges, excel spreadsheets word documents and business letter formatting is required.
- Other technology skills including Internet research, databases interfaces, PeopleSoft and web content management are required.
- Must have proven donor centered skillset in dealing with internal and external stakeholders.
- The successful candidate will possess maturity, self-confidence and poise to deal appropriately with a wide variety of people and situations from the student level to high-profile community leaders and dignitaries. He or she must be self-directed and have superior interpersonal communication skills, both verbal and written, as well as excellent listening and interpretive skills.
- Must have proven ability to interact in a professional manner and build positive relationships with clients and team members.
- Must have proven ability to remain positive and confident under pressure.
- Must have proven ability to exercise judgment within established guidelines.
- BBCRM database experience is a requirement, (e.g.: higher level functions like queries, exports, imports and mail).
- Must have proven ability to project manage both small and large events and projects.
- Attention to detail and accuracy are critical.
- A high level of knowledge and understanding of university policy and procedures is required.
