The Dinos Athletics in the Faculty of Kinesiology is currently seeking a Full-time Regular Manager, Events.
Reporting to the Associate Director, Operations, the Manager, Events works closely with the Communications Manager and other members of the team. The flexible work schedule is 35 hours per week, with the peak period of work occurring from August 1 through April 30 each year. Weekend and evening work will be required during the athletic season.
The Manager, Events, has overall responsibility for all exhibition, regular season, playoff and special events conducted by the Department of Athletics. The position includes multi-event weekends, requiring various detailed tasks to be coordinated at multiple venues. At times, there will be multiple, simultaneous deadlines in a work environment that is fast paced and results oriented. The incumbent must be able to work under pressure and with a variety of environments and people.
The incumbent must show initiative and discretion, as decisions made can impact various units within the Department of Athletics and the Faculty of Kinesiology.
This is a generalist position with a broad range of focus areas and target audiences, requiring management of competing interests with satisfactory outcomes for all stakeholders involved.
Summary of Key Responsibilities (job functions include but are not limited to):
- Lead a team of unionized part-time and student staff
- Responsibilities include ensuring events are adequately staffed and properly executed. The position recruits, hires, trains, schedules, and manages part-time events staff Specific duties also include creation of game day scripts, as well as the servicing and execution of department sponsorship agreements
- Ensure proper budgeting and tracking for events-related expenses
- Manage deposits and reconciliations of events-related revenues
- Ensure appropriate scheduling, setup, execution, and teardown of events to provide an outstanding experience to competing teams and fans alike while ensuring a safe, respectful, and entertaining environment
- Work with external groups to ensure effective operation of games and special events (i.e. McMahon Stadium Society, Calgary Sports and Entertainment Corporation, City of Calgary Recreation, UCalgary Students' Union)
- Oversee creation of game day script and liaison with video production crew for in-game scripting
- Ensure league minimum standards and sponsor obligations related to in-game experience are met
- Training and scheduling of designated part-time event staff in their activities, ensuring appropriate staffing levels and scheduling
- Lead all planning related to annual special events, i.e. Academic All-Canadian celebration, Night of the Dino, Dinos Hall of Fame
- Manage food & beverage operations in the Jack Simpson Gym and Olympic Oval
- Create and maintain reporting systems for relevant event statistics (ticketing, concession etc.)
- Coordinate appearances for Rex, the Dinos' mascot and other Athletics collateral
- Manage inventory of promotional items and coordinate requests for donations on behalf of the Department of Athletics
- Work with community organizations to provide opportunities for athlete appearances and/or fundraising opportunities with the Department of Athletics
- Work with facility stakeholders (Faculty of Kinesiology, Olympic Oval, City of Calgary, McMahon Stadium and others) to ensure timelines are met regarding facility bookings for training/practice and competitions
- Work internally with Dinos coaches to ensure their facility needs are met, coordinating their day-to-day requests with facility stakeholders
- Manage any events-related facility improvement projects including equipment, technology, branding, etc.
Qualifications / Requirements:
- Post-secondary degree in business, sports management, or other related area
- Familiarity with and demonstrated ability to meet and exceed minimum standards for sporting events, including league and university requirements
- At least three (3) year's experience in sport event management, demonstrating progressive responsibility and leadership
- Exceptional communication skills, both written and oral
- Strong attention to detail, good multitasking and organizational skills are required
- Ability to work in a high-intensity, fast-paced environment focused on excellent customer service
- Team leadership skills including proven ability to manage, delegate and inspire
- Familiarity with Microsoft Office (Word, Excel, PowerPoint)
