The Enrollment Center Administrative Assistant must possess excellent analytical skills, strong verbal, written and interpersonal communication skills, and demonstrate excellent customer service. This individual would be tasked with welcoming and facilitating entering visitors into the department’s queuing system and directing them to appropriate services, including, but not limited to:
Admissions
Registration
Financial Aid
Assessment
Bursar
The Administrative Assistant must have in-depth knowledge regarding various areas of the college to direct visitors and assist in the development of work-study students. This position also conducts other general clerical assignments.
MAJOR RESPONSIBILITIES:
- Provide general information about admissions, registration, financial aid, orientation, assessment, and Bursar support functions
- Greet visitors, clarify and answer general questions, and/or enter students into queuing systems to be seen by an Enrollment Specialist (ES)
- Share general college and Enrollment Center information to visitors and direct them to locations across the Ivy Tech campuses as needed
- Assist students in starting the application process, and have a general understanding of enrollment steps to assist students at different points in their journey
- Assist with all special projects and mailings, as well as provide filing, data entry, telephone and clerical assistance for the Enrollment Center, including outbound calls at times
- Read and understand forms for multiple departments and provide proper e-form links and paper forms to visitors
- Collect and verify completeness of forms and accompanying materials being turned in to the Enrollment Center
- Function effectively in a team environment
- Maintain working knowledge of emergency/safety procedures provided by supervisor
- Be knowledgeable of the location of the electronic and hard copy of procedures when applicable to deliver information as needed to customers
- Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA)

Minimum Qualifications:
- High School Diploma: Associate degree preferred.
- At least three years of direct face-to-face customer service experience required.
- Prefer at least two years of direct experience in one or more of the following areas: registration, records, financial aid, admissions, or higher education.
- High level of experience with Microsoft Office and Customer Management Systems (CRMs).
- Demonstrated experience learning new systems and gaining proficiency in using those systems.
- Must possess excellent communication and interpersonal skills.
- Pleasant disposition, good attitude, and ability to get along with others.
- Demonstrated ability to work in a team-oriented environment.
- Ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued.
- Bilingual preferred.
- Must not be in default on an education loan or in overpayment of a federal grant or loan.
