The Student Success Centre in Student Experience and Support is currently seeking a Full-time Regular Coordinator.
The Student Success Centre (SSC) offers inclusive advising and academic support services to enhance and enrich students¿ academic skills, support their academic wayfinding and attain their individual academic goals. We welcome prospective, open studies, undergraduate and graduate students. We strive to offer student-centered resources and be a place where students can ask questions and learn more about strategies and resources that support their learning and university success.
Reporting to the Director, Student Success Centre, the Coordinator, Scholars Programs works to support students with high community engagement and academic achievement through coordinating all aspects of the Scholars Academy and the Aspire program. This unique role will require the Coordinator to have knowledge of national and international scholarship programs and processes (i.e. Rhodes, Fulbright n scholarships, etc.), experience with graduate and professional program applications, and institutional program development. The Coordinator will not only work specifically with the University's highest achieving students in developing their academic and leadership skills to ensure strong candidacy for these scholarships and other high-profile honors, but they will also ensure the Scholars Academy and Aspire programs develop and support the institution's goals as outlined by the Student Experience and Support Strategic Plan regarding creating transformative student experiences.
Summary of Key Responsibilities (job functions include but are not limited to):
Programming Coordination
- Responsible for the coordination and overall success of the Scholars Academy and the Aspire program.
- Work with Associate Deans, Directors and faculties to identify top students who may qualify for program and oversee communication to students to encourage their participation in the Scholars Academy.
- Recruit, interview and admit students into the Scholars Academy program.
- Track student's progress through each program to ensure continuation requirements are met.
- Coordinate the Rhodes Scholarship Internal review committee to select institutional finalists, and provide these finalists with support from the university on their application materials and interviews.
- With support from the SA Program Assistant, monitor other major scholarship processes, including required qualifications and application deadlines and work with students to identify scholarships which are well-matched to their experience.
- Liaising with the Director, Student Success Centre, continue to review and assess the accountabilities of the Aspire Program and Scholars Academy.
- Coordinate Scholars Academy Advisory Council, make recommendations about Council membership, coordinate meetings and ensure Council members are well apprised of the work and achievements of Scholars Academy students.
- Engage the advisory council in strategic planning for the program on a five-year cycle.
- Work closely with Development and Alumni to support Donor relationships and initiate fundraising opportunities.
- Coordinate Mentorship Programs for students in the Scholars Academy and the Aspire Program, including engaging in ongoing communication with mentors and mentees and ensuring that the needs of both groups are being met.
- With the support of the SA Program Assistant, coordinate the selection of the recipients of the Scholars Academy travel/conference awards.
- Work with communications to design, implement, and update the website and other communication materials on a regular basis.
- Coordinate the support provided to students with the 3M Student National Fellowships.
- With the support of the SA Program Assistant, coordinate special events for Scholars Academy students, including arranging an annual retreat, a regular Speaker Series, attendance at prestige University events and important lecture opportunities.
Advising / Learning Support
- Work 1:1 as an advisor and coach to high performing students to develop personal and leadership goals and share appropriate resources with students to assist them in achieving their goals.
- Develop strong relationship with each Scholars Academy student to ensure that professional assistance in matching top students with exceptional opportunities is provided.
Supervision
- Provide in-scope supervision and oversight of the day-to-day work of the SA Program Assistant and the Academic Strategist, First-Year Students.
- Provide regular feedback, coaching and resources to support the professional development of the SA Program Assistant and the Academic Strategist, First-Year Students.
Collaboration
- Participate in committees and working groups relating to student, recruitment, success and retention.
- Work in partnership with external student services units to develop programs and events that support the development of civic responsibility and leadership skills of program participants.
- Work closely with other Student Success Centre staff to ensure that the academic advising/learning support needs of Scholars Academy and Aspire are met.
- Be proactive in staying current with academic affairs and governance to understand, monitor and convey all aspects of university policies and procedures for all students in the program.
- Participate in and support all key departmental operations including tracking and analyzing statistics, generating reports on student success, proper file documentation, departmental meetings, strategic planning, program assessment and participation at events as required. Understand and monitor institutional priorities, decisions and benchmarks.
- Additional duties as assigned.
Qualifications / Requirements:
- Master's Degree required, and 5-7 years of student affairs, student leadership, teaching, or academic advising experience.
- A combination of education and work experience may also be considered.
- Understanding of major national and international prestige scholarship programs and processes required.
- Ability to successfully handle a large, intense student workload with a positive student-centric attitude and strong working knowledge of post-secondary student experience and needs across various students intersectional identities required.
- Demonstrated commitment to exceptional, proactive student service.
- Strong interpersonal communication skills.
- Strong critical thinking, judgment and decision-making skills.
- Evidence of skills in problem solving including identifying issues, reasoning, and ability to develop creative, innovative and flexible responses to challenges.
- Strong organizational and planning skills with the ability to establish priorities, manage multiple demands and meet deadlines.
- Demonstrated high level of professionalism and personal leadership.
- Ability to represent the office and university with internal and external stakeholders.
- Ability to work effectively individually and as a team member and a commitment to a collegial and inclusive work style.
- Experience developing and facilitating effective and positive learning opportunities for students in both individual and group formats.
- Excellent computer skills including experience using technical advising tools (such as student information and learning management systems like PeopleSoft, Degree Audit software and D2L).
- Thorough knowledge of university policies, procedures and requirements including the Freedom of Information and Protection of Privacy Act (FOIP).
