The Dean's Office - Grad Studies within the Faculty of Graduate Studies is currently seeking a Full-time Staff Limited Term Graduate Process Analyst for approximately 1 year.
This position is integral to optimizing processes, systems, and workflows related to graduate student programs and services within the Faculty of Graduate Studies (FGS) at the University of Calgary. Reporting to the Manager, Graduate Process & System Improvement, the Analyst will collaborate with leadership and staff across FGS, teaching faculties, the Office of the Registrar, Enrolment Services, IT, and other central units.
The Analyst will lead initiatives that enhance the efficiency, consistency, and quality of academic and administrative processes for graduate students. This includes gathering, analyzing and documenting business requirements, identifying, analyzing and recommending opportunities for improvement, and supporting design and implementation of solutions that streamline workflows and improve the graduate student experience.
The Process Analyst plays a critical role in the Faculty of Graduate Studies (FGS) Process and Systems Optimization (PaSO) initiative and the broader Graduate Student Journey Transformation. The Analyst is responsible for developing and implementing strategies that enhance academic and administrative workflows through process redesign and stakeholder engagement.
Summary of Key Responsibilities (job functions include but are not limited to):
- Facilitate working groups to identify and recommend process improvements that support the graduate student journey.Analyze current business processes and recommend strategies to eliminate inefficiencies and enhance service delivery.
- Collaborate with diverse stakeholders to ensure solutions are practical, sustainable, and aligned with institutional goals.
- Gather and document detailed business requirements for approved initiatives.
- Support the implementation of new or revised processes, including documentation, training, and change management.
- Ensure alignment with project timelines and milestones, coordinating input from various contributors.
Qualifications / Requirements:
- A minimum of an undergraduate degree in a related field. A Master's degree is considered an asset.
- Training and or certification in business and process analysis, process improvement, lean methodology and/or change management is required.
- Minimum 5 years of experience in business analysis, process improvement, and/or organizational change within a complex environment.
- Demonstrated success leading cross-functional initiatives and delivering measurable improvements.
- Requirements Gathering and Documentation: Highly proficient in facilitating requirements gathering through multiple methods, including surveys, interviews, focus groups, etc. Skilled in synthesizing requirements to create detailed requirements documentation.
- Process Mapping & Analysis: Highly proficient in mapping current and future state processes and identifying areas for improvement.
- Stakeholder Engagement: Skilled in building relationships and facilitating collaboration across departments and levels of the organization.
- Change Management: Experience supporting organizational change, including communication, training, and adoption strategies.
- Project Coordination: Ability to manage multiple priorities and ensure timely delivery of project outcomes.
- Communication: Excellent verbal and written communication skills, with the ability to convey complex ideas clearly and persuasively.
