The Active Living in the Faculty of Kinesiology is currently seeking a Full-time Regular Membership Coordinator .
The University of Calgary's Active Living department is one of the largest and most diverse recreation departments based on a North American campus. Active Living has a team of 40 full time and up to 600 part time staff. On an annual basis our staff handle 47,000 registrations in over 75 recreational and sporting activities, and provide facility access to over a million users to our facilities: North America's largest Outdoor Centre with climbing and bouldering walls, a gymnastics centre, an Olympic sized pool, a Fitness Centre with 200 m track, Canada's largest university Racquet Centre, five gymnasiums and access to the Olympic Oval. The Outdoor Centre also provides its students and community over 16,000 outdoor equipment rental orders each year. Active Livings mission is to enrich lives by providing quality programming and educational experiences which promote and encourage lifelong active living for all.
This position reports to the Manager, Student and Client Services with an accountability to the Director, Active Living and Outdoor Centre. This position primarily works Monday -Friday during business hours. However, there is a requirement for flexibility in availability to work with the University's academic calendar and scheduled promotional dates to support Active Living's presence at these events. This will include weekday, evening, and weekend shifts as needed. This position can work up to 35 hours per week. Overtime may be required on occasion. The candidate is member of the Local 52 of the AUPE.
Summary of Key Responsibilities (job functions include but are not limited to):
- Campus Community Engagement
- Plan an annual promotion calendar for membership sales
- Coordinate special member events such as holding information booths, facility tours, meet-and-greets, and promo weeks
- Serve as the Active Living representative in committees across campus
- Ensure there is open communication with internal and external stakeholders. These can include student groups, staff and faculty representation, and University affiliates
- Builds and maintains relationships with the above mentioned groups
- Collaboration with marketing to design and execute promotional campaigns and increase membership awareness
- Membership Administration
- Assist in developing and implementing marketing materials and programs
- Membership renewal reminders sent in a timely manner
- Responsible for administration of membership files
- Undertake ongoing research related to trends and competition that directly affect Active Living services
- Maintain statistics on membership numbers and facility use, creation of spreadsheets to report this information to stakeholders
- Update membership agreements, policies, and procedures as necessary
- Provide recommendations on membership structure, organization, pricing, and implementation within internal registration software (CSIS)
- Ongoing training and communication with all front line staff
- Customer Experience
- Serve as the primary contact for membership inquires and concerns, responding with a positive and proactive approach to customer service
- Develop policies and procedures that encourage membership engagement with a focus on quality of memberships and continual improvement
- Advocate for Active Living members in terms of accessibility, equality, and fair treatment throughout offerings
- Initiating contact with potential stakeholders with a goal of fostering future collaboration
- Engage in long term strategic planning with a focus on industry trends and standards
- Budgeting
- Development of the Membership budgets through exploration of revenue generation and marketing strategies
- Accurate forecasting based on current trends
- Setting current pricing and fees by benchmarking with industry standard
- Budget information is gathered, analyzed and compiled accurately within timelines
- Submitting monthly and annual reports to leadership in a timely manner
- Invoicing for membership services sales
- Purchasing of promotional materials, inventory, and branded gear
Qualifications / Requirements:
- Must hold a post-secondary degree in Kinesiology/Sport & Recreation, Communications, or a related area.
- Must have demonstrated professional experience within the recreation industry for a minimum of five years.
- Five year's of demonstrated ability to develop and provide excellent customer service; strong communication skills and capacity for empathy.
- Five year's of demonstrated professional experience in recruitment and marketing.
- Availability to work evenings and weekends is required
- Exemplary interpersonal skills and the ability to work effectively both independently and as part of a team (demonstrating flexibility and initiative), completing work with minimal supervision.
- Demonstrated ability to work in a high volume environment with frequent interruptions and changing priorities.
- A minimum of five year's experience working with computer software applications including Microsoft Outlook, Word, and Excel.
- Demonstrated experience with InDesign or other related software
- Strong administrative and computer skills with an ability to learn and manage new operating systems.
- Working knowledge of the University of Calgary's Client Service Integration System and Point of Sale software considered an asset
- Current First Aid/CPR certification considered an asset
