Job Summary
The Lab Manager will support the administrative, financial, and operational needs of the research lab on a part-time basis (3 days/week). The role will assist with preparing and reporting on grants, maintaining key records, supporting HR and hiring processes, managing budgets, coordinating data access and compliance, and tracking ethics and contracts. This is a critical role to ensure the smooth day-to-day functioning of the lab. The position requires a highly organized and reliable individual with experience in academic or research administration.
Organizational Status
The incumbent will report to Principal Investigator Dr. Aline Talhouk, Assistant Professor in the Department of Obstetrics and Gynecology, in the Faculty of Medicine at the University of British Columbia (UBC).The employee will have space to work in Vancouver General Hospital Research Pavilion.
Work Performed
Key responsibilities:
Maintain and update CVs, biosketches, and publication lists for the Principal Investigator and lab members.
Assists with grant applications, including coordinating updated CVs, compiling supporting documents, publication lists and preparing budget and administrative sections of grant applications.
Assist with grant reporting requirements, including progress reports, financial reporting coordination, and compliance tracking.
Assists PIs to obtain ethics approvals and renewals (REB submissions, amendments, annual renewals).
Prepare and track progress of research contracts and agreements, liaising with institutional offices.
Assist with the preparation and tracking of data access requests and data sharing agreements and contracts.
Coordinate hiring processes for lab staff and students (posting positions, interview scheduling, onboarding).
Maintain HR records and track contract dates and renewals.
Serve as a point of contact for basic HR-related inquiries.
Monitor lab budgets and expenditures.
Prepare financial tracking reports for the Principal Investigator.
Process invoices, reimbursements, and purchase orders in accordance with institutional policies.
Coordinate lab meetings and assist with lab event planning. Coordinate PI scheduling.
Maintain lab records and organizational systems.
Serve as liaison with institutional administration and external collaborators as needed.
Consequence of Error/Judgement
Errors made could influence the ability of the researchers and research staff to meet critical deadlines, compromise research results, and result in loss of research program funding. Serious errors may result in delay or withdrawal of research papers and reports, loss of credibility for the research lab, the principal investigator and other co-investigators, and the overall program.
Supervision Received
Many aspects of work will be done independently. Supervision from the Principal Investigator will be given during orientation and on subsequent new assignments or changes in procedures.

Minimum Qualifications
Completion of a relevant technical program or a university degree in a relevant discipline and a minimum three years of related experience or an equivalent combination of education and experience.

Preferred Qualifications
Background in research administration or academic operations preferred.
Strong organizational and project management skills; ability to manage competing priorities with limited time.
Familiarity with university research processes (ethics, HR, finance, contracts, data governance, grants).
Proficiency with standard office software (Word, Excel, Google Workspace).
Ability to work independently and communicate effectively with internal and external partners.
