Physician Assistant Program - Didactic Administrative Coordinator Description
The PA Didactic Administrative Coordinator provides administrative and logistical support for the didactic phase of the Physician Assistant Program. In this role, you will manage classroom schedules, coordinate instructional resources, support faculty needs, and maintain accurate academic records. The position ensures a smooth and efficient experience for faculty and students during the didactic year through detailed coordination and responsive communication.
Core Responsibilities:
- Schedule and coordinate classrooms, lectures, labs, and guest speakers, including technology and room setup.
- Prepare and organize course materials, exams, and handouts under faculty guidance.
- Maintain academic calendars, daily schedules, student attendance, and examination participation records.
- Manage and securely maintain academic records, including syllabi, objectives, exams, grades, and student performance data.
- Provide system support using LMS platforms, ExamSoft, and related academic technologies.
- Serve as primary contact for students regarding schedules, deadlines, announcements, and remediation follow-up.
- Coordinate communication and support for guest lecturers and adjunct faculty.
- Assist with faculty and curriculum committee meetings, including scheduling and recording minutes.
- Support event logistics for orientations, ceremonies, and student recognition activities.
- Collect and organize academic data for program reporting and accreditation purposes; adhere to institutional policies and perform additional duties as assigned.
Work Schedule:
This is a full-time position. Some evening or weekend work may be required during exams or special events. Remote or hybrid work is not available.
Requirements
Education
- Bachelor’s degree required. Business Administration, Office Management/Administration, or similar field preferred.
Experience
- Strong written and verbal communication skills.
- High level of organization, time management, and attention to detail.
- Proficiency with Microsoft Office Suite and academic software platforms.
- Ability to manage confidential information appropriately.
Preferred Qualifications:
- Experience in academic or medical education settings.
- Familiarity with accreditation requirements, learning management systems, and ExamSoft or related systems.
