The Undergraduate Science Centre in the Faculty of Science is currently seeking a Full-time Regular Specialist, Curricular WIL.
The Specialist, Curricular Work Integrated Learning (Specialist) in the Faculty of Science is a member of the Careers and Work Integrated Learning (WIL) team and reports to the Manager, Careers & WIL. The scope of the Career & WIL team focuses primarily on 1) career advising, 2) career programming development and delivery of quality WIL programs, including Science Co-op and Science professional Graduate Internship Program, 3) fostering external relationships with employers in support of career placement and work-integrated learning (WIL) for a diverse population of domestic and international students across all Science programs, and 4) student engagement.
This role will act as the primary point of contact for faculty members seeking to establish partnerships with industry for capstone projects, classroom initiatives, and other collaborative efforts with the external business and faculty community. The incumbent will collaborate with faculty to deliver quality curricular WIL programs, the Specialist, WIL Programs & Student Engagement (WIL Specialist), and the Specialist, Employer Relations (Employer Specialist) team to foster meaningful connections that enhance the educational experience and align with Science's strategic vision. This position will also work with students preparing for and participating in both capstone and curricular WIL to ensure the students have a quality experience.
This position requires frequent interactions with a diverse range of internal stakeholders and coordination with external partners, faculty members and students. The role demands a professional demeanor, excellent communication skills, and the ability to manage multiple projects simultaneously. A proactive approach, strong organizational skills, and the ability to build and maintain effective relationships within the university are essential. Occasional evening or weekend work may be required to accommodate partnership events or meetings.
Summary of Key Responsibilities (job functions include but are not limited to):
- Act as the primary liaison between faculty and the Employer Specialist to facilitate industry partnerships for applied research, capstone projects, classroom initiatives, and other collaborative efforts.
- Help faculty members design and scope projects to align with academic goals and communicate project requirements to Employer Specialist, enabling them to source suitable projects.
- Alongside the WIL Specialist, vet projects brought in by the Employer Specialist to ensure they meet academic standards and align with course objectives.
- Assist in managing the legal aspects of project work, ensuring compliance with university policies and external agreements.
- Maintain and expand a database of faculty partnership requirements and ensure alignment with existing industry relationships managed by the Employer Specialist .
- Facilitate regular communication between faculty and the Employer Specialist to ensure ongoing collaboration and satisfaction.
- Design processes for managing consulting projects, including sourcing and intaking projects, assigning projects to courses, and ensuring smooth integration into academic programs.
- Assist in training faculty on these processes to ensure consistency and efficiency across departments.
- Work with faculty to integrate industry partnerships into course curricula, ensuring alignment with learning outcomes.
- Support faculty in designing, posting and selecting students for their curricular WIL programs.
- Coordinate logistics for partnership-related activities, including project scoping, timelines, and deliverables, in collaboration with the Employer Specialist.
- Provide support to faculty and students throughout the partnership process, addressing any issues or challenges that arise in coordination with Employer Specialist.
- Foster strong relationships with internal stakeholders, including faculty, and Student careers & WIL staff and student experiences teams.
- Collaborate with other departments and units within Science to promote interdisciplinary partnerships.
- Coordinate with the Employer Specialist to ensure effective external engagement and alignment with broader institutional goals.
- Collaborate with the WIL Specialist to ensure a high level of student support, particularly regarding our Professional Graduate WIL programs.
- In partnership with the WIL Specialist, design and deliver high quality and engagement WIL preparation content through various means, such as workshops, resources, videos and events.
- Track and report on partnership activities, outcomes, and impacts in collaboration with the Employer Relations team.
- Develop metrics to evaluate the effectiveness of partnerships and identify areas for improvement.
- Prepare regular reports for internal stakeholders, highlighting successes and opportunities for growth.
Qualifications / Requirements:
- An undergraduate degree in Business, Education, or a related field is required.
- A minimum of 7 years of experience working with experiential or work integrated learning programs and collaborating with community (industry, non-profit, and/or government) partners in an academic context is required.
- Extensive knowledge of experiential learning principles and best practices.
- A good understanding of pedagogical literature and application of theory, especially with regards to experiential learning, work-integrated education, and strategies for student engagement.
- Proven ability to think innovatively and deliver new and developing programs.
- Previous progressive experience in an academic environment, including collaborating with faculty and staff to enhance the student learning experience and increase engagement.
- Proven ability to build and maintain professional relationships with diverse stakeholders, including faculty, students, and internal teams.
- Evidence of personal leadership, self-motivation, self-direction, and an ability to work independently.
- Ability to establish personal credibility within the Faculty of Science and the University of Calgary.
- Experience with Orbis, D2L and VMock is an asset.
- Strong interpersonal skills and a proven record of working collaboratively, nurturing positive working relationships with faculty, staff, and internal stakeholders.
- Highly developed organizational, analytical, and problem-solving skills.
- Proven ability to meet competing and concurrent deadlines in a fast-paced environment with constantly shifting priorities.
- Advanced skills in Microsoft Office are required.
- Knowledge of University academic policies and regulations, including copyright and FOIP, is an asset.
