Primary Function: Provide timely and accurate gift processing and associated activities, effective database support and management, and serve as an in-house database expert for the NCC Foundation staff, managing systems and collaborating with Foundation staff to provide technical support, reporting, and other departmental needs to promote the achievement of Foundation goals.
Responsibilities: (1) Gift processing: Enter gifts and complete associated processing activities including receipting, donor acknowledgements, and reporting. Assist with month-end and year-end closing of Foundation financials with transfer of funds to appropriate accounts. Ensure timely and accurate reconciliations are performed. Generate and mail annual statements. (2)Database Management: Serve as a systems administrator for the Foundation fundraising database and related technology tools, including digital payment processing platforms and prospect management systems. Assist with and lead process review, design and implementation activities. Prepare training and procedure documentation as well as provide user training as needed. Maintain data integrity through routine data review and cleanup. Work with internal technical support to maintain systems, support and test upgrades, and ensure data security. Serve as the liaison with marketing department to ensure all areas of the College's website relating to the Foundation are accurate, functional and up to date. (3) Reporting and Analysis: Build, generate and run queries, exports, imports and reports as needed in a timely and accurate fashion for fundraising, benchmarking, events and other Foundation needs. Analyze data. Provide support with list development for direct mail and other programs. (4) Support of Other College Programs and Initiatives: Support other Foundation and Institutional Advancement (IA) related events and projects as assigned.
Organizational Relationships: (1) Responsible to the Senior Manager of Foundation Operations for assigned responsibilities. (2) Works closely and cooperatively with members of the Foundation staff and other IA staff to carry out departmental objectives (3) Works cooperatively with members of other departments. (4) Works with Information Technology Services staff as needed; (5) Relates individual and organization's role to College and Foundation mission and goals.
Performance Standards: Performance in this position is considered satisfactory when: (1) Mutually agreed upon objectives have been attained within the specified time frame. (2) Responsibilities of the position have been carried out at a level consistent with performance objectives. (3) Effective cooperation exists with other members of the administrative team.
Qualifications: (1) Education: Associate degree from a Council for Higher Education Accreditation (CHEA) approved Institutional Accreditor college or university in business administration, computer science, information systems, accounting, finance or related field, or equivalent; bachelor’s degree preferred. (2) Skills, Knowledge, Abilities: (a) Detail-oriented, with strong analysis, data management, and problem-solving skills; (b) Experience and competence with Microsoft office applications, reporting tools (preferably Crystal reports), and administrative systems. Raiser's Edge knowledge a plus; (c) Ability to work on multiple projects and meet project deadlines; (d) Strong interpersonal, written and oral communication skills; (e) Flexibility to adapt and shift priorities to the various situations which may arise in the day to day operations; (f) Be self-motivated, self-directed, achievement-oriented, with proven success working as member of a team; (g) Ability to establish effective relationships with co-workers, donors and various constituencies within the college; (h) Excellent organization and project management skills; (k) Ability to train users and share best practices in the adoption and most effective use of software and technology (3) Experience: (a) Minimum 1-2 years’ experience in systems administration/reporting or similar area. (b) Fundraising, finance, non-profit management or related experience a plus.
