Job Description:
The Assistant/Associate
Director, Gift Agreements reports to the Senior Associate Director, Stewardship
& Donor Engagement and is responsible for managing all gift agreements and
administration of establishing gift funds. The Assistant/Associate Director,
Gift Agreements creates gift agreements to ensure donor and University’s wishes
are being met, and guarantees appropriate and relevant information are
reconciled between the gift system and accounting records. Primary
responsibilities include:
Create gift agreements and
manage the review process:
- Serve as the initial and primary point of contact to successfully create new gift agreements, administrative documents, memoranda of understanding, and other documents supporting new gifts to the University, ensuring compliance with internal policies and applicable laws and regulations.
- Understand different gift vehicles and types to successfully structure gift agreements that best align with the gift logistics and intent.
- Create clear and concise gift agreements that thoughtfully and strategically balance the donor’s wishes with the University’s needs and which comply with federal, state, and University guidelines.
- Assist development officers with the creation, review, and revision of gift agreements and related documentation by drafting, proofreading, tracking, scanning, preparing for signature, distributing, and other tasks required to finalize agreements.
- Manage and coordinate responses to inquiries regarding gift agreements from donors and prospect managers.
- Research best practices, peer institutions, market/economic conditions, and government rules and regulations and recommend changes and enhancements to improve administrative effectiveness, services, and/or resources.
- Ensure that all gift agreements include language consistent with current laws as well as University policies and practices.
Maintain gift agreement
procedures and administration:
- Maintain gift agreement tracking sheets for the Stewardship & Donor Engagement’s and Office of the Senior Vice President’s staff to monitor the status of agreements in progress in coordination with Advancement Information Services.
- Perform regular review of existing accounts and work with gift officers to produce new gift agreements or amendments for account creation.
- Manage electronic and physical files in coordination with Advancement Information Services.
- Perform detailed research on wide-ranging ad hoc requests for information regarding gifts and endowments, including but not limited to, providing clarity on donor intent, status of gifts, and validation of gifts and usage for Boston College units and management.
- Maintain training documents for development officers regarding the establishment of new gift agreements.
- Upon signed agreement being returned from donor, the Assistant/Associate Director is responsible for entering all the required stewardship information in archival platforms and the database.
- Play a key role in establishing the fund in appropriate systems. Accurate management of stewardship fund data for each new fund is essential for compliance and fund management across the University.
- Research and resolve stewardship compliance issues.
- Communicate key information by preparing regular agendas about finances and restrictions on newly established funds for distribution to appropriate financial administrators at schools/units, development deans, and gift officers.
- Work with gifts management and the schools and programs team to track matching gift challenges and share progress towards goals.

qualifications, skills, competencies, experience, and internal equity
considerations.
Assistant Director: $57,800 -
$72,250
First Level Associate Director:
$63,800 - $79,750
Second Level Associate Director:
$70,500 - $88,150
RequirementsThis position requires a
Bachelor’s degree or equivalent combination of education and experience. At the first level Assistant Director, 1-3
years of development or related experience is required. At the second level Assistant Director, 3-5
years of development or related experience is required. At the Associate Director level, 5+ years of
development or related experience is required.
Determination of job level and compensation will be commensurate with
experience.
The Assistant/Associate Director is required to demonstrate consistent and
highly professional behavior; have excellent spoken, written, and interpersonal
communication skills; and have excellent organizational skills. Strong
attention to detail, including with regard to donor and program names, grammar,
spelling, and punctuation is required. Proficiency with the MS Office Suite and
Constituent Relationship Management software is essential. Must be comfortable
learning and using new technologies. Must be able to work independently and to
manage highly complex processes for a high-quality end product and able to
problem solve, to communicate effectively and professionally, to work well
under deadlines, and to collaborate in a team environment. Excellent written
and oral communications, including ability to copy-edit and proofread, are also
required.
Must be a team player who is highly motivated and dedicated to the goals
of advancing higher education and have an appreciation for Jesuit, Catholic
