Description
Reporting to the Registrar, the Graduation Coordinator oversees areas in the Registrar’s Office that relate to the evaluation and awarding of degrees and assists with various tasks surrounding the quarterly commencement ceremonies. In addition, this role oversees the degree audit process and conducts quarterly record reviews and graduation audits. This position is primarily responsible for quality control and customer service standards of the degree audit and graduation process in the Registrar’s Office.
Responsibilities
- Monitor and update official degree audits for the Undergraduate, Graduate, and Doctor of Chiropractic academic levels.
- Communicate status of degree requirements to the students, Deans, and Advisors.
- Process student memos and waivers as approved by the colleges.
- Establish and maintain a quarterly communication plan regarding the various processes associated with graduation and related commencement preparations.
- Place new and replacement diploma orders.
- Manage graduation related holds.
- Create and maintain the quarterly graduation list.
- Collaborate with Academic Offices and Marketing to finalize the quarterly commencement program.
- Process graduation of students in the student information system (Colleague) each quarter.
- Regularly communicate with prospective graduates regarding the commencement ceremony and requirements.
- Coordinate and assist with the creation of commencement related materials
- Participate in commencement related events.
- Maintain FERPA compliance.
- Assist in duties related to additional registrar processes.
- Additional duties and responsibilities as assigned.

- Assist with special projects and initiatives as needed.
- Participate in departmental meetings and contribute to team discussions.
- Support other departments during peak times or as directed by the supervisor.
- Participate in Professional Development opportunities as assigned.

Qualifications
Education, Training, and/or Experience
- Bachelor’s Degree from an accredited institution
- One (1) to three (3) years of experience in a Registrar’s Office or applicable higher education setting.
Preferred Qualifications
- Three (3) or more years of experience working in a Registrar’s Office or applicable higher education setting.
- Experience with Microsoft Office, Word, Excel, and student information systems (preferably Colleague).
- Strong interpersonal skills
- Strong verbal, written, and analytical skills.

Working Conditions
- Work performed in a general office environment.
- May require availability for overtime hours during peak periods.
