The Registrar Information Systems and Reporting Specialist works under the general supervision of the University Registrar. The person in this position is not only the lead technical problem-solver in the Registrar’s Office, but also oversees the implementation, maintenance, and on-going support and development of information systems. The incumbent provides day-to-day support for solutions and reports necessary for business processes in the Registrar’s Office.

Duties/Responsibilities

ResponsibleforthemanagementandmaintenanceoftheSISand related system used in all registrar operations.
With the Registrar, act as primary Data Steward to develop and maintainthehighestlevelofinformationintegritywithinBanner Student.
Provideprojectleadershiptoregistrar-specificinformationsystems and application requirements.
Responsiblefortheoveralltechnicaloperationsneededtodevelop and sustain the processing and maintenance of student academic records in compliance with all federal (e.g., NSC reporting) and state regulations, and to meet institutional objectives.
Implement new technical tools, software, and systems (e.g., institutionalconversiontoWorkdayStudentandtransitionfrom Xtender to Laserfiche).
Ensure that all technical tools (e.g., Banner SIS & Self-Serve, DegreeWorks,Parchment,etc.)utilizedintheRegistrar’sofficeare up to date and function properly.
Coordinate testing of Banner and DegreeWorks, and related systems,upgrades,patching,andreleasesbeforeauthorizingtheir integration into the production database.
Leverageunderstandingofregistrarfunctionsandregulationsto developtechnicalsolutionstostreamlineofficeprocessesandto improve efficiency.
Understand how Banner Student interacts with other modules and collaborate or offer guidance or problem solving as needed. Manageimportsandexportsofdataintoandoutoftheinformation system in collaboration with other offices and their current and
prospectivedatabases.
Registrar representative on the PSU and USNH Banner Users Groups, and the PSU Integrated Solutions Group; point person for all technology-related needs and meetings (e.g., access tickets, cybersecurity, and vendor review) involving the registrar’s office.
Act as liaison with other PSU offices regarding shared data issues.
Monitor several technology listservs (Ellucian and Workday) and participate in professional associations.
Create and maintain position-specific procedures manual for registrar’s office.
Serve as primary liaison between the registrar’s office and the implementation partner for the migration from Banner to Workday; Oversee the setup and testing of the workstreams, including developing workflows; Direct the launch of Workday and lead the processes for necessary adjustments.
Research and resolve technology-reliant issues; Prioritize responsibilities to ensure time-sensitive needs are managed quickly.
Oversee tech onboarding for all new registrar staff as well as computer and peripherals inventory for the registrar’s office team.
Provide support for IT-related issues in the registrar’s office prior to submitting tickets to the IT department.
Complete special projects as needed.

Support operations of the registrar’s office utilizing various computer and online solutions including the student database and related plug-ins, MS Office, and SharePoint to accomplish daily tasks.
Work closely with administrators and sister offices such as Academic Affairs, SFS, and the Academic and Career Advising Center.
Contribute to policy review and revisions with registrar and the registrar team.
Cultivate trust in the registrar’s office by offering quick and accurate answers to questions and reducing the need to shuffle students. Provide general academic information and assistance in a professional and efficient manner, clearly explain university academic policies and procedures and point out resources for self-service.
Assist in researching issues regarding compliance with government and other external regulations and assist with compliance as required.
Assist with registrar communications (e.g., texting students) and with technical solutions used by colleagues (e.g., DegreeWorks scribing and EAB feeds).
Maintain a neat and organized workstation.
Requirements
Minimum Acceptable Education & Experience:
Bachelor’s degree
2 years of professional work experience in the information technology field.
Advanced technology skills such as proficiency with student information systems (e.g., Ellucian Banner Student or Workday Student), as well as MS Office applications.
An aptitude for learning and implementing new systems.
Familiarity with reporting applications such as Crystal reports, WEBI, MS Access, and SQL.
Capable of adhering to legal requirements and regulations and maintaining confidentiality.
Ability to work independently and as part of a team in a high- volume, fast-paced environment that experiences frequent change.
Self-motivated, takes responsibility for own work, and has a willingness to learn and manage new tasks.
