Academic Programs Coordinator, College of Agriculture & Bioresources
Primary Purpose: The purpose of this position is to provide strategic planning and project management services for a broad range of academic operations and administration processes related to undergraduate programs in the College of Agriculture and Bioresources. This position provides administrative leadership in the planning, implementation, and improvement of processes that support program management and student enrollment, retention, and graduation.
Nature of Work: The work involves aspects of strategic planning, project management, creation of best practices and procedures, detailed analysis and reporting of data, as well as the oversight and implementation of routine tasks associated with program administration. There is a high volume of work in a fast-paced environment frequently driven by competing project deadlines. Accuracy and attention to detail are critical, as the impact of errors is significant. Expertise in university systems and policies and the ability to establish relationships that support collaboration and problem-solving are essential to this position. The ability to work independently and to exercise critical thinking and professional judgment to make appropriate decisions are required. The incumbent is expected to act as a resource for faculty, staff, and students, and will be required to work in a complex and ever-changing environment, managing shifting priorities and timelines.
Typical Duties or Accountabilities:
- Management of all aspects of the class build project for college undergraduate courses, including developing and communicating a strategic plan to improve processes and meet departmental needs while adhering to strict university timelines; maintaining detailed records of curricular changes, instructor assignments, fees, and scheduling to ensure that class build is carried out with 100% accuracy and efficiency; analyzing issues and collaborating with resource units to find solutions to emergent problems; exercising sound judgement and decision-making in the allocation of college-controlled space based on instructor needs and department priorities; developing best practice and making recommendations to help departments make decisions about enrollment and resource allocation.
- Management of the administration of undergraduate College scholarships and bursaries, including but not limited to: developing a strategic improvement plan for the maintenance of award documents and terms of reference; collaborating with the college Development and Finance teams, as well as Student Finance and Awards, to ensure that scholarships are awarded accurately, and advising on the development of new awards; developing communications about award opportunities to students, staff, and faculty; analyzing eligibility criteria and preparing preliminary allocations and award eligibility lists to support the college scholarship committee; preparing and distributing notification letters, and maintaining records of recipients.
- Management of the administration of undergraduate College certificate and micro-credential programs, including researching, developing, and implementing best practice and procedures for admission, reporting, tracking program progress, and supporting completion of undergraduate certificates; analyzing emergent issues and making strategic recommendations to promote the growth, improvement, and successful completion of undergraduate certificates; maintaining accurate student records and making recommendations for curricular revision as needed.
- Strategic oversight and administration of undergraduate student evaluations (SLEQ) for all college faculty, including collaborating with resource units to solve problems and ensure deadlines are met; communicating with departments and the Associate Dean (Academic) to ensure that the implementation of the evaluations supports the processes of tenure and promotion; developing best practice and serving as a resource to department heads and graduate program assistants on policies and procedures.
- Logistical support and administration for processes that support student enrollment, retention, and graduation, including reviewing and processing class overrides and requests for program changes; maintaining and updating student records in DegreeWorks and Banner Document Management; providing administrative support for processes related to student performance reviews, including Faculty Actions and Dean’s Honour Roll; assisting with the administration of all processes related to undergraduate convocation, including processing applications for graduation, verifying eligibility, compiling graduation statistics, and preparing materials for Faculty Council and convocation ceremonies; compiling and analyzing undergraduate enrollment statistics and reports
- Building and maintaining effective relationships with departments, faculty, staff, and central support units
- Understanding and accurately communicating university policies and College Regulations to staff, faculty, and students
- Modeling a high standard of performance and outcomes; ensuring a positive, diverse and respectful work environment.

Education & Experience : A minimum of five years of combined education, training, and experience; an undergraduate degree or a recognized post-secondary diploma in office administration. Training in project management and experience with University of Saskatchewan systems are significant assets
Skills: The incumbent will apply policies and procedures, exercising effective decision-making within the scope of job duties. Duties require analysis and critical thinking in order to determine to solve problems and present information. This position will provide guidance and direction regarding academic procedures. Effective working relationships will be built and maintained within the college and university. The position requires superior organizational skills, meticulous attention to detail, and the ability to work independently and establish priorities. A working knowledge of commonly used office software applications, including MS Excel, is required. The incumbent performs operational and administrative duties that require exceptional attention to detail and accuracy, ensuring that all processes are completed in tandem with the academic cycle.
