The Industry Engagement Team in the Office of VP Research invites applications for a Project Coordinator. This Full-time Fixed Term position is for approximately 24 months (based on length of grant funding), with the possibility of extension.
Reporting to the Manager, Industry Engagement, and working collaboratively with multiple stakeholders, the Project Coordinator, Industry Engagement, will join an active team tasked with initiating new industry-partnered research and innovation opportunities at the University of Calgary.
As outlined in section 2.2 of the Ahead of Tomorrow Research and Innovation Plan, the Industry Engagement Unit aims to match industry partners with researchers to spark collaborative projects, to leverage industry investments with government funding and to advance growing partnerships towards new and exciting opportunities. The Project Coordinator, Industry Engagement, is a new role that will become an essential and integral part of ensuring that the Industry Engagement unit is well positioned to meet our ambitious strategic goals to connect people with opportunities. The role requires a self-starter with outstanding organizational skills, judgement, accuracy, and speed of delivery who also prioritizes collaboration and seeks to achieve positive outcomes for all stakeholders.
This is a 2-year full-time term AUPE position with the possibility of extension. Work hours are typically 8:30am - 4:30pm Monday to Friday; however, the position may involve flexible work hours (i.e., early mornings, weeknights, weekends) to accommodate operational needs from time to time.
Summary of Key Responsibilities (job functions include but are not limited to):
- Develop and execute internal outreach strategies to inform and engage faculty members about industry research opportunities.
- Establish and maintain relationships with key internal collaborators such the members of the Business Development for Research Community of Practice.
- Establish and own best practices to continually improve the effectiveness of Industry Engagement office business processes, providing input on methods and resources needed for improvement.
- Be the first point of contact to respond, triage and track requests for information or services submitted via the Industry Engagement website and email address.
- Develop and publish a bulletin of curated opportunities for Faculties to engage industry.
- Lead the design, refinement and ongoing usability testing of the Industry Engagement website for maximum ease of use for internal and external clients.
- Draft, edit and publish materials for the Industry Engagement resources library on SharePoint.
- Create, maintain, and update file systems and/or databases for information as needed; ensure ease of access and clear organizational structure so that team members can keep their records up-to-date and shared drives organized.
- Hone and refine tools and processes to track progress of the Industry Engagement team towards targets.
- Author and present status reports, dashboards, analytics, and other documentation as requested by the Manager.
Qualifications / Requirements:
- A post-secondary education, preferably a university degree, combined with 5-7 years of related experience; advanced knowledge of the University environment and research resources.
- Significant project management and administrative experience.
- Communications, marketing, and events experience are preferred.
- Research experience would be beneficial.
- Successful track record in the implementation of a wide variety of projects and initiatives.
- Demonstrated knowledge of and ability to connect with the campus community and external stakeholders; ability to direct and influence the work of others to support project execution.
- Excellent oral and written communication skills and the ability to effectively respond to enquiries with tact, diplomacy, and discretion.
- Excellent interpersonal skills and ability to build relationships and facilitate collaboration between diverse groups to increase connectivity and collaboration across University priorities aligned with research.
- Experience successfully negotiating solutions to complex problems and balancing competing interests for resources.
- Strong organizational and analytical skills and the ability to develop innovative solutions that meet the needs of diverse partners.
- Excellent organizational and time management skills.
- Developed competencies in strategic thinking, creativity, and innovation, focusing on client needs, teamwork, leadership, researching and reporting on innovation related topics, decision-making, planning, organizing, and problem solving.
- Superior organizational and time management skills with the ability to focus on multiple tasks effectively and efficiently with a high attention to detail and accuracy.
- Proven ability to work in an environment that is complex, changing and often stressful.
- Self-directed and motivated with proven ability to work both independently with minimal supervision and within a team environment.
- Strong understanding of University mission, values, and plans.
- Proficiency with computers and software: word processing, web-based marketing tools, spreadsheets, databases, presentations, financial management, project management, communications including e-mail, social media, shared servers, Drupal, videoconferencing, web based professional learning environments, and University core business systems.
