Job Summary
The Administrative Assistant provides support to the Internship & Career Center, a dynamic department that manages the operations of the college-wide internship program and provides career advising and resources to all students and alumni. This role interacts with a wide variety of constituents, both internal (students, faculty, staff, administrators) and external (employers, parents, etc.).
Key Outcomes
50% of Time: Provides administrative support to the Internship & Career Center
Processes invoices, orders, and organizes office supplies
Provides organizational support for department events
Processes all internship travel stipend requests
Schedules appointments, meetings, and space requests for the department
Attends weekly departmental meetings as well as regular internship faculty meetings
30% of Time: Recruits, hires, and manages student employees
Organizes the posting of student worker positions; initiates interview and hiring processes
Provides onboarding of student workers, including training on office processes and technology
Oversees students’ work to ensure projects are completed efficiently and effectively
20% of Time: Serves as point of contact for the department
Provides customer service to a wide variety of constituents, including employers, parents, students, alumni, faculty, and staff who visit, call, or email the department
Manages general department email accounts and directs inquiries appropriately
Perform other duties as assigned

Knowledge/Skills/Abilities
Bachelor’s degree preferred, ideally in a related field such as business administration, education, or communications.
Minimum of 2 years of progressively responsible administrative support experience, preferably in a higher education, career services, or student affairs setting.
Demonstrated experience in academic program support, event coordination, and projec management.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Google Calendar, Google Drive).
Familiarity with Workday or other enterprise resource planning (ERP) systems is a plus.
Excellent interpersonal and communication skills, with the ability to interact professionally and effectively with students, faculty, staff, employers, and external stakeholders.
Highly organized, detail-oriented, and proactive, with a positive attitude and the ability to manage multiple priorities in a fast-paced environment.
