The Werklund School of Education is currently seeking a Full-time Regular Student Advisor/Program Promotion.
The Werklund School of Education (Werklund School) has more than 2500 students currently enrolled in BEd, MA, MEd, MC, PhD and EdD degree programs supported by more than 160 academic and support staff. There are more than 27,000 alumni of the Werklund School that can be found in 148 countries around the world. Research informs all of our programs. In exploring how we learn and how to create conditions that enable learning, the work of our students and researchers provides a better understanding of the broad range of educational issues within our communities.
Reporting to the Manager, Undergraduate Programs in Education (UPE), the Program Promotion/Student Advisor works in a noisy, high traffic area with frequent interruptions and must allow for a flexible schedule, work may involve evenings and weekends. This position involves representing Undergraduate Programs in Education at recruiting events and other venues, providing information on the admissions and registration processes as well as programs and services offered at the University. The incumbent will also be expected to offer front line advising services.
The Program Promotion/Student Advisor performs highly complex functions that require a strong level of knowledge and concentration as actions can result in a high impact of error. Strong organizational, communication, presentation and analytical skills are required as all tasks performed require close attention to detail, concentration and consistent follow-up. Exceptional interpersonal skills appropriate to advising (listening, conflict resolution, diplomacy, patience, empathy) are crucial. There is a high volume of work with peak periods during admission cycles, registration, and graduation/certification; therefore, efficient time management skills and teamwork are critical in order to ensure all deadlines are met and processes are carried out effectively.
The position requires high energy, innovation and creativity and the incumbent should thrive in team-based environment and be committed to meeting team goals and to maintaining a collaborative, efficient team dynamic. The Program Promotion/Student Advisor must ensure that the Werklund School of Education and the University of Calgary are represented in a professional manner at all times. This position experiences periods of high stress and requires a high degree of flexibility.
This is a full-time position within the AUPE Collective Bargaining Unit. Regular hours are 7 hours/day Monday to Friday. The incumbent must be willing and able to work some evenings, weekends and overtime during peak periods (September to April) to support various recruitment activities. There are moderate physical demands placed on the Advisor through carrying of necessary equipment and materials for events.
Summary of Key Responsibilities (job functions include but are not limited to):
- Student Advising
- Advising current and prospective students providing accurate information on the program; admission and/or registration requirements on the undergraduate programs and respond to questions. Providing referrals to other University services, where appropriate
- Responding effectively to a high volume of telephone, email, online and in-person inquiries from a wide variety of sources, working together with other Student Advisors to ensure inquiries are addressed in a timely and accurate manner
- Advising graduating BEd students on the process and requirements for obtaining Teacher Certification in the Province of Alberta
- Preparing recommendations for certification to Alberta Education for all graduating BEd students who meet the certification requirements for submission by the Senior Program and Policy Specialist or Manager, UPE
- Reviewing requests from students and preparing Early Clearance Letters for students with confirmed offers of employment as needed
- Providing assistance on behalf of graduates to Alberta Education, Teacher Qualification Service, and other agencies, including completion of forms and/or providing letters verifying program requirements, number of courses taken, practicum hours completed, grade point average equivalencies in support of applications to graduate programs, program descriptions for out-of-province/country and certification

- Recruiting qualified applicants to the BEd program and promote the Werklund School of Education at the University of Calgary as the Undergraduate Education program of choice using various tactics such as personal visits, presentations, one-on-one meetings, telephone, correspondence, volunteers and electronic media
- Planning and targeting visits to strategically-defined regions meet the UPE student enrolment goals
- Planning and implement UPE participation in University recruitment events including, but not limited to; UofC Open House and You at UCalgary
Investigating invitations to attend education fairs and recommend to the Manager and/or Associate Dean, Undergraduate Programs in Education the Werklund School of Educations participation as appropriate - Identifying and target key contacts/organizations in the education profession to facilitate University of Calgary's recruitment initiatives, conversion strategies, and applicant follow-up
- Developing a wide range of contacts within the University community; e.g., faculty offices, departments, faculty members, administrative areas, etc., to sustain both a broad information base about the University and to be able to draw on such resources as part of recruitment-related activity
- Speaking to prospective BEd students answering their admission, program and career related questions. May provide pre-screening of application credentials to facilitate the application process
- Keeping up to date with curriculum changes and admission requirements in order to promote the BEd program to prospective students and representatives from school jurisdictions
- Community Based Coordination
- Coordination, preparation, and scheduling of summer cohort schedule in conjunction with Manager, and Director Student Experience.
- Participate in Community-Based BEd Information/Orientation Sessions throughout the academic year
- Recruitment, and coordination for Community Based initiatives
Qualifications / Requirements:
- Undergraduate degree in a related field is required, preference will be given to an Education degree
- Three to five years of directly related experience working with, coaching, and advising adult learners is required. Academic advising certification would be considered an asset
- Experience in marketing and business development is an asset
- Knowledge of industry, job market and associated trends, in order to target industries and employers, is required
- Experience in making effective presentations and/or public speaking is required
- Excellence in program/project administration is required
- Proven record of providing superior customer service and answering detailed/complex enquiries in a student service area is required
- Knowledge of Campus Alberta and the Canadian university system admissions criteria, university programs, and strong familiarity with Canadian and international educational system is required
- Demonstrated experience with event and fair planning and public relations is required
- Excellent organizational skills including ability to work independently, meet deadlines, coordinate a number of projects/programs simultaneously in response to changing/conflicting priorities is required
- Demonstrated ability to be resourceful, creative, and flexible
- Ability to work with minimal supervision, perform under pressure, plan ahead, and deal with difficult individuals while maintaining composure
- Must be very comfortable in online technology
- An understanding of the University values, systems and practices as they relate to student affairs is required
- A valid Class 5 driver¿s license (cannot be a graduated license) with proven good driving record (abstract required)
