Job Summary
The Facilities Operations Coordinator serves as the primary liaison between event organizers, vendors, in-house food service and catering teams, Conference Center Staff, Booth departments, and other University divisions. This role ensures that all event spaces at Gleacher Center are set up according to agreed plans, coordinates porter staff schedules, and oversees event execution, including occasionally managing high-level events. The position will contribute to unified event policies across Booth buildings and assist with maintaining the EMS reservation system, managing room setups, and ensuring event equipment is functional. Responsibilities also include shipping and receiving coordination and supporting future business center needs. The Facilities Events Coordinator plays a vital role in upholding exceptional service standards and efficient event operations while collaborating with Harper Event Staff to streamline event procedures and unify the Booth Facilities processes further across buildings.
Responsibilities
- Assists in overseeing Chicago Booth approved foodservice contractor.
- Incorporates and coordinates all service groups that support events in the Gleacher Center. This includes security, custodial, engineering, and outside contracted vendors. Assists in the management of the contracted, budgeted services of a Chicago Booth approved housekeeping/porter vendor.
- Manages a daily and/or weekly schedule of events that represent all activities taking place in the Gleacher Center and ensures all requests, set ups, and materials are in place ahead of the event. Receives all updates, new requests and changes to events and assigns tasks to the appropriate team as needed.
- Acts as a facilities liaison between student and faculty groups with each new academic cycle.
- Works with Harper Center event staff to develop and incorporate a streamlined method/policies and/or guidelines for event planning/execution across Facilities.
- Assists with updating and ordering all building signage including assisting with maintaining and updating portions of the Booth wayfinding kiosks that pertain to Booth Facilities and Operations.
- Conducts building tours to VIP guests, alumni and potential donors as needed.
- Assists with the upkeep of the EMS Meeting Room Management software system in both an end user and administrator role.
- Learns work order systems and helps make changes/improve/upgrade the new work order system when it is selected.
- Assists in monitoring the facilities listserv for requests related to Gleacher events or requests.
- Manages operating budget and assists Director with management of multi-year capital budget.
- Manages shipping and receiving operations, dock management, as well as future business center functions as needed and requested.
- Works with custodial vendor to order custodial supplies as needed.
- Assists with scheduling work within Gleacher spaces.
- May be asked to assist with managing capital projects and/or building improvements.
- Assists with the RFP process for major service contracts as well as building projects when needed.
- Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar.
- Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader's budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports.
- Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).
Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.
